Responsibilities:
Front Desk Management and Communication Handling:
- Act as the primary point of contact for all incoming calls, emails, and visitors, providing professional and courteous assistance.
- Efficiently screen and direct calls, take messages and handle inquiries to ensure prompt and accurate communication flow within the organization.
Front of House Maintenance and Presentation:
- Take ownership of maintaining a welcoming and organized front office environment, including the reception area, lobby, and shared spaces.
- Ensure cleanliness, tidiness, and professional presentation, particularly in areas frequented by directors and senior staff members.
Event Coordination and Support:
- Assist in the coordination and execution of internal and external events, meetings, and conferences.
- Manage event logistics, including scheduling, room setup, catering arrangements, and providing logistical support to ensure seamless operations and exceptional guest experiences.
Administrative Support and Office Management:
- Provide administrative support to various departments and senior management, including scheduling appointments, managing calendars, preparing documents, and handling office correspondence.
- Assist in office procurement, equipment maintenance, and other general administrative tasks to ensure efficient office operations.
Personal Assistant to the Leadership Team:
- Provide comprehensive administrative support to the leadership team, including managing calendars, scheduling appointments, and coordinating travel arrangements.
- Assist in preparing reports, presentations, and other documents, ensuring accuracy and attention to detail.
- Serve as a liaison between the leadership team and internal/external stakeholders, handling correspondence and inquiries with professionalism and discretion.
Qualifications:
- Proven experience in a receptionist or front desk role, with excellent communication and interpersonal skills.
- Strong organizational abilities with meticulous attention to detail.
- Proficiency in Microsoft Office Suite and basic office equipment.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Experience in event coordination, administrative support, or executive assistance is highly desirable.
