We are looking for an elite Administration Manager to work closely with the General and Operations Manager while supporting the administration team.

Key Responsibilities:

As an Administration Manager, your role is multifaceted and integral to our operations. You will be responsible for:

  • Administrative Management:
    • Overseeing and coordinating all administrative tasks to ensure the smooth operation of our office.
    • Enabling your colleagues to perform at their best and achieve their goals through effective administrative support.
  • Record Keeping & Document Control:
    • Maintaining accurate records of all business activities.
    • Managing the secure storage and retrieval of business documents, ensuring important information is always accessible.
    • Providing accountability in business operations and helping the business function effectively while maintaining institutional memory.
  • Expense Management:
    • Overseeing and controlling administrative expenses as a financial steward.
    • Leveraging your expertise to optimize resource usage, contribute to the company's profitability, and assure stakeholders of fiscal responsibility.
  • Policy Implementation:
    • Implementing and monitoring adherence to company policies to foster a respectful, ethical, and harmonious work environment.
    • Ensuring everyone understands and follows the rules.
  • HR Management:
    • Handling HR tasks, including recruitment, payroll, and benefits, acting as a caretaker and bridge.
    • Ensuring the well-being of the team while connecting the organization's mission with its most valuable asset: the people.
  • Office Management:
    • Overseeing office maintenance and supplies, serving as a provider and nurturer.
    • Collaborating with administrative suppliers to ensure the company has the necessary resources for efficient operations.
    • Creating a conducive work environment that supports productivity, collaboration, and overall team well-being.
  • Meeting Management:
    • Organizing and managing business meetings, acting as a timekeeper and planner.
    • Utilizing your skills to facilitate focused and productive discussions, enabling teams to make progress and keep projects moving forward.
  • Customer Support:
    • Assisting in providing customer support and queries  as a company ambassador.
    • Playing a significant role in shaping the customer's experience, driving customer satisfaction, and building long-term relationships.
  • Process Improvement:
    • Innovating and problem-solving to implement efficient administrative processes.
    • Leading efforts that can lead to greater productivity, cost savings, and a smoother, more enjoyable work environment for everyone.
  • Staff Coordination:
  •  Providing support to scheduling team
    •  Coordinating administrative staff tasks, acting as a conductor leading an orchestra.
    • Ensuring everyone knows their part, which is essential for harmony and efficiency within the team.
  • Training:
    • Providing training to administrative staff, serving as a mentor.
    • Contributing to personal development, skill enhancement, and building a more capable and confident team.

Qualifications and Requirements:

  • Proven experience in administration or office management.
  • Strong organizational and leadership skills.
  • Excellent communication and problem-solving abilities.
  • Proficiency in office software (e.g, google drive, xero).
  • Knowledge of plumbing and gas maintenance is a plus.
