About the Role:
As the Team Leader, Corporate Services, you will oversee the operations of our Corporate Services team, ensuring quality assurance and compliance, effective data management, and proficient use of IT applications and equipment. You will lead a team of professionals, driving excellence and supporting the achievement of our organisational goals.
Key Responsibilities:
- Administrative Operations: Oversee the day-to-day operations coordinating PCLS resources, equipment, and supplies, and facilitate fleet, travel, and facilities management activities in consultation with the line manager.
- Bookkeeping, Financial Data Entry and Processing: Assist with Payroll, Procurement, Accounts Payable, Accounts Receivable, Bank Reconciliation, and Credit Card management functions, payroll, invoices, expense reports, and other financial documents. Assist with preparing and reviewing financial statements and reports.
- Continuous Improvement: Review work outputs and address errors or issues promptly. Implement quality control processes and best practices. Develop and implement continuous improvement plans.
- Quality Assurance and Governance: Maintain quality assurance processes and procedures to ensure compliance with organisational policies, industry standards, and regulatory requirements.
- Data Management: Oversee data management activities, including data entry, storage, retrieval, and analysis. Ensure accuracy, integrity, and data security. Develop and maintain data management systems and protocols, ensuring efficient and effective data handling processes.
- IT Applications and Equipment: Ensure the team is proficient in using IT applications and equipment necessary for their roles. Provide training and support for new and existing IT systems. Coordinate with the IT contractor to address technical issues and implement new technologies as needed.
- Project Coordination: Assist with coordination of special projects. Develop project plans, set timelines and milestones, allocate resources, and monitor progress to ensure successful and timely completion of projects.
- Coordinate and Track Tasks: Assign, set, track, and analyse key performance Obejctive Key Results (OKRs) to assess team and individual performance. Manage workloads by ensuring they are evenly distributed, and deadlines are met.
- Performance Management: Provide or arrange for training opportunities to enhance team member’s skills and encourage a continuous learning and growth within the team in consultation with the line manager.
- Communication and Messaging: Facilitate effective communication within the team, and internal staff. Serve as a liaison between team members and upper management, relaying information, and updates.
- Event Management: Support other programs areas with event management activities and facilitate coordination of All Staff events.
- Additional Tasks: Reasonable ad hoc tasks as requested
What We're Looking For:
- Minimum of 5 years of experience in a similar role, with at least 2 years in a supervisory or leadership position
- Proven experience in quality assurance, compliance, and data management.
- Strong leadership and team management skills.
- Proficiency in IT applications (e.g., Microsoft Office Suite, data management software) and strong familiarity with IT equipment.
- Excellent organisational, problem-solving, and communication skills.
