Job description

Charles Hull Contracting is a long-established and respected family owned business, operating out of Waroona. We have more than 50 years’ experience in mining, civil construction and the transport industry. We have built a leading reputation for successful and efficient completion of major projects, including clearing works, haul road construction, topsoil and overburden removal, crushing & screening, and mine site rehabilitation. 

We are currently seeking applications from experienced professionals to fill the position of Administration Manager and join our senior management team. Persons with understanding of end to end processes, excellent time management skills, payroll and financial knowledge, ability to deliver projects and prioritise tasks, lead the administration team and communicate well with others are encouraged to apply.

What you will need:
ESSENTIAL

  • Proven experience in purchasing and inventory processes.
  • Proven experience in ERP systems administration. Including Payroll systems administration.
  • Proven experience working as Accounting Manager, Finance Manager or similar.
  • Proven knowledge of booking and accounting principles, practices, standards and laws and regulations.
  • Tertiary qualification in Accounting/Finance or management and leadership.
  • Current WA Drivers Licence.
  • Advanced computer skills on MS office, accounting software and databases.
  • High attention to detail and accuracy.
  • Ability to direct and supervise.
  • Excellent analytical skills to manage large amounts of data.
  • Ability to prioritize work.
  • Excellent mathematical skills.
DESIRABLE
  • Graduate/Diploma or Masters in Accounting/Finance or business administration.
  • Cert IV in Leadership and Management.
What your key responsibilities will be:
  • Maintain and oversee all continuous improvement activities relating to Pronto and Report Creation throughout each department to ensure end to end processes are established to ensure data accuracy, correct costings and report functionality (not limited to the departments under Administration).
  • Introducing and maintaining Mid-Month and End of Month objectives, task and check lists across various departments to ensure management accounts are provided within designated timeframes to Directors, data reconciliations are completed and other reports can be provided to stakeholders in a timely manner.
  • Introduce and maintain Monthly, Quarterly and Annual Payroll Data audits, including completing Internal and External Audits.
  • Reviewing Business Strategic Objectives and Risk Assessments.
  • Reporting improvements opportunities and/or issues to Directors.
  • Manage and oversee all accounts, payroll, purchasing and inventory process are functioning correctly and identifying areas for improvements.
  • Creation and Implementation of (Change Management) Process Maps and/or Procedures.
  • Ensure all HSE Management Plans and Change Processes are being followed by team members.
  • Ensure direct report - supervisors and leading hands are supported, trained and understand required set objections/targets/goals laid out as per strategic business plans and/or as required.
  • Conducting team meetings with each division within the Administration team to receive updates, provide updates and set specific objectives, targets and departmental goals.
  • Ensuring correct resourcing within the departments.
  • Delegating work to ensure deadlines are met.
  • Providing support and training to direct and indirect reports (Internal and external where identified).
  • The ability to drive a strong safety culture and ensure adherence to CHC’s Integrated Management Systems (IMS) policies and procedures.
  • To ability promote the concept of a best practice health and safety culture at CHC based on risk management and behaviour based safety principals and of being a leader in these areas.
  • Monitor work procedures and suggest procedural changes or improvement to supervisors to assist in identifying and developing work practices and methods that reduce the risk of injury, decrease costs and improve productivity.
  • Assisting the Recruitment Coordinator when administration personnel are required.
  • Performance management including plans, reviews, extensions of probationary periods, recorded discussions, written warnings and terminations when required.
  • Conflict management and resolution.
  • Setting, communicating and managing KPI’s for employees.
  • Attend senior management meetings to provide updates.
  • Attend operations meeting and providing updates.
  • Ensure all EOM and EOFY Reporting is completed accurately and on time.
  • Ensure all legislation and compliance obligations are met.
