Key Responsibilities:
Project Management: Lead and oversee various projects within our dynamic organization, ensuring they are executed efficiently and effectively. Collaborate with cross-functional teams to drive project success and deliver superior results.
Customer Service Excellence: Serve as the frontline ambassador for our esteemed customers, ensuring their needs are met and expectations are exceeded. Provide prompt and personalized support via phone, email, and post to enhance their experience with our brands.
Invoicing & Customer Support: Manage invoicing processes with precision and accuracy, ensuring timely billing and resolution of customer inquiries. Uphold our commitment to outstanding customer support by addressing queries and concerns promptly and professionally.
Staff Onboarding & Training: Facilitate the seamless onboarding of new team members, ensuring they are equipped with the knowledge and resources needed to excel. Coordinate training sessions to foster skill development and promote a culture of continuous learning.
Presentations & Communications: Prepare compelling presentations and communications that reflect our brand values and resonate with our stakeholders. Craft clear and impactful messaging to effectively communicate key initiatives and objectives.
Networking & Staff Events: Plan and coordinate networking events and staff gatherings that foster camaraderie and team spirit. Represent our company at industry events and conferences to build relationships and showcase our innovative products.
Travel Coordination: Manage travel arrangements for team members, optimizing schedules and logistics to ensure smooth and hassle-free experiences. Arrange accommodations, transportation, and itineraries with meticulous attention to detail.
Performance Review Support: Assist in coordinating performance review processes, demonstrating sensitivity and professionalism in handling confidential information. Ensure that feedback is collected and documented accurately to support employee development.
Meeting Support: Provide comprehensive support for internal and external meetings, from preparing meeting rooms to documenting proceedings and following up on action items. Ensure that meetings are well-organized and productive.
Office Supplies & Stock Control: Maintain optimal levels of office supplies and equipment, proactively managing inventory and procurement to support operational efficiency. Implement effective stock control measures to minimize waste and optimize resource utilization.
Assisting on Bids & Tenders: Support the bid and tender process, collaborating with team members to compile compelling submissions that showcase our strengths and capabilities. Ensure that submissions are submitted accurately and on time.
Executive Assistant Duties: Provide dedicated support to the Managing Director, managing schedules, processing expenses, and handling confidential information with discretion and professionalism.
Record Keeping & HR Liaison: Maintain records and documentation, ensuring compliance with regulatory requirements. Liaise with the HR department on personnel matters, demonstrating confidentiality and integrity.
Qualifications:
- Bachelor's degree in Business Administration, Management, or related field.
- Proven experience in administration management, project management, and customer service.
- Strong organizational and multitasking abilities, with excellent attention to detail.
- Exceptional communication and interpersonal skills, with a customer-centric approach.
- Proficiency in Microsoft Office Suite and project management tools.
- Ability to thrive in a fast-paced environment, with a proactive mindset.
- Experience in event planning and coordination is advantageous.
- Knowledge of HR processes and procedures is preferred.

Preferred experience- Industry experience - worked within a similar type of business and market (health food and supplements)
- Technical knowledge of sports nutrition and health food products
- Experience in using manufacturing & inventory software
- Experience using XERO, Microsoft suite
