Key Responsibilities include
- Reconciling customer, creditor and other accounts, including minimising outstanding invoices professionally.
- Ensuring all invoices are accurate, entered into the ledger and distributed on time.
- Maintain electronic and hard copy filing system.
- Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Perform reception duties such as answering, screening, and forwarding incoming phone calls and emails.
- Assist with the organization and maintenance of office common areas.
- Assisting with register duties, including cash handling and processing payments.
- Manage senior management calendar and meeting schedules.
- Handling essential documents, photocopying, scanning them as per the requirements
- Assist with meeting minutes for internal and external stakeholders.
- Overseeing all the reporting requirements to senior management, ensuring any issues and concerns are raised and resolved.
- Assisting in maintaining and vetting vessels certificates.
