Job description

PRIMARY RESPONSIBILITIES:

Under direction of the Housing Manager, assist in BAC property management, while supporting and assisting with other office administration as directed. The position assists the Manager Housing, Homelands, Construction.

The primary responsibilities are:

  1. Manage the delivery and supervision of property management for the BAC Housing rentals portfolio to ensure strategic and operational business objectives are achieved. Including assessment of repairs and maintenance at properties and effectively manage and action trade services.
  2. Coordinate and continuously improve systems, practices, and reporting procedures for asset management, within this portfolio in consultation with the Office Manager and Manager
  3. Develop and help manage planning processes and plans to aid housing, property management and cleaning services targets and goals including data management, inventory control and planning templates for work allocation for trades, for staff housing.
  4. Responsible for cleaning of properties when vacant and maintaining the targets and goals for improvement of staff housing.
  5. Assist team members with administration duties including obtaining quotes, purchase orders, maintaining registers and data entry as required.
  6. Assist team with Invoicing, Accounts and Timesheets as required.
  7. Ensure all tenancy accommodation is supplied and monitored in a manner that conforms to an Asset Management approach.
  8. Ensure new staff information packs are available in prepared accommodation, including welcome gift and that all new staff are aware of services and important locations and support facilities in Maningrida, including emergency contacts.
  9. Assist office manager with contractor services coordination e.g., pest control.
  10. Ensure WH&S and other relevant statutory compliance is operating and tenancy agreements are signed and recorded.
  11. Ensure Power and Water is notified and up to date with staff housing changes and new tenancy’s also ensuring any direct debits for set rate payments are activated.
  12. Undertake six-monthly inspections of BAC properties, record, and draft property status reports, replace kitchen equipment and furniture where necessary and manage repairs and maintenance requests and work orders.
  13. Create and foster a workplace that encourages and welcomes Indigenous employment and participation in the division.
  14. Any other duties as assigned by your manager within your capabilities.

Specific duties include:

  • Implement Staff Tenancy Agreements for all existing staff, create for new staff commencing and carry out staff tenancy conclusions, including assessing properties for repairs and maintenance, replacement of furniture / chattels.
  • Carry out house inspections six monthly, record and update register accordingly, this includes pest control and fire safety.
  • Dealing with customer requests for work via front desk, phone, and email.
  • Assist to maintain key register and incident report register.

SELECTION CRITERIA:

Essential:

  1. Extensive customer service experience with exceptional organisational and prioritisation skills to deliver results in a fast-paced work environment with competing tasks and activities.
  2. Ability to build rapport and work cooperatively and effectively to achieve common goals with teams, local people, sub-contractors, clients, and third-party suppliers.
  3. Strong interpersonal, communication, negotiation, and problem-solving skills with the ability to use empathy, discretion and judgement and influence challenging and stressful situations with clients and staff to positive outcomes.
  4. Experience in office administration skills including freight logistics and stock / inventory control management.
  5. Experience in maintaining asset lists and information systems and general office administration Microsoft Office software including word and excel experience is essential.
  6. Property management experience would be highly regarded.
  7. Exceptional organisational and prioritisation skills to deliver results in a fast-paced work environment are required.
  8. Demonstrated mentoring skills to develop capacity to deliver on current and future work.

Desirable:

  1. Experience living and working in remote communities.
  2. Experience and/or knowledge of Aboriginal culture and communities and how they operate.
  3. Experience working for a community development or not-for-profit organisation.
  4. Understanding of Tenancy requirements and agreements and inventory control.
  5. Experience with Property Management

Salary:

$56,730.96 per annum, 12% Superannuation, Fulltime 38 hours per week, six weeks annual leave on pro-rata basis. A suitable accommodation will be provided for the right candidate.
