  • Based in Berrimah, NT

CAAPS is an Aboriginal Community Controlled organisation delivering a range of important community services to people through activities and services that reflect our CORE values of caring, openness, respect and empowerment. You will be part of an exciting program delivering a new approach to providing AOD and Youth Services. 

About the position

Serve as the initial point of contact and provide administrative support to stakeholders inquiring about or accessing CAAPS services and programs. Demonstrate outstanding customer service in all interactions with clients and stakeholders. 

Aid in upholding CAAPS's robust governance framework to help the Board fulfil its obligations under the Corporations (Aboriginal and Torres Strait Islander) (CATSI) Act.

Some of your responsibilities will be:

  • Provide general administrative support to ensure efficient operation of all CAAPS programs.
  • Welcome and assist visitors, respond to emails, and handle phone calls.
  • Maintain and organise CAAPS filing systems according to procedures and administrative standards.
  • Uphold high hygiene standards in offices and program facilities. Ensure offices and common areas are tidy and well-presented.
  • Attend and actively participate in meetings as necessary. Keep meeting minutes up-to-date and accurately recorded.
  • Work collaboratively as a positive member of a multidisciplinary team.
  • Engage in quality assurance processes, focusing on continuous improvement.

Company Secretary specific duties

  • Assist in reviews of policies and procedures related to governance and the Board.
  • Ensure timely communication on Board meetings, agreed content of papers by CEO and Chair, and timely forwarding to Directors as per Board Charter.
  • Prepare, record, maintain and distribute the minutes of all Board meetings and maintain a completed set of Board papers at the CAAPS office.
  • Ensure CAAPS meets all company legislative obligations under the CATSI Act are met.
  • Ensure all Director requirements are met as specified.
  • Maintain the Conflict-of-Interest Register.
  • Oversee board member nomination, selection, onboarding, and resignation. Maintenance of a Board Membership Tracking Register and a Board and Executive Contact List complete with details of all Directors and Independent Chairs.
  • Advise the Board on governance matters and monitor that Board policies are followed.
  • Systems administrator for Office of the Registrar of Indigenous Corporations (ORIC).
  • Sustain a registered office and promptly inform ORIC of any alterations to business or personal details of directors within a 28-day timeframe. 

Your skills, experience and qualifications include:

  • Certificate in Administration, Governance, or related field.
  • Effective verbal and written communication skills. Ability to adapt communication style to meet the diverse needs of others.
  • Demonstrated capacity to work independently and collaboratively within a cross-cultural environment.
  • Ability to present a friendly, helpful, and positive image of CAAPS, with excellent telephone etiquette in line with CAAPS Customer Service Standards.
  • Proficiency in using Windows software on personal computers, with practical word processing abilities and strong keyboard skills.
  • Understanding of and commitment to maintaining strict confidentiality in the role.
  • Experience in records management and data entry.
  • Ability to work with minimal direct supervision.
  • Willingness to maintain a drug free lifestyle.
  • Current First Aid Certificate, or willingness to obtain
  • Current NT Driver’s License (minimum C Class)
  • Current Criminal History Check
  • Current Ochre Card (Category E)
