About the Role:
As a Regulatory Services Support Officer, you will play a crucial role in providing effective and efficient administrative and operational support services to the Regulatory Services functions. This includes compliance, environmental health, and rural land management matters.
Key duties:
- Provide administrative support of a complex nature to the Manager of Regulatory Services in the day-to-day operations of the department by coordinating activities, maintaining annual work plans, monitoring processes, and resolving operational issues.
- Complete administrative tasks such as, maintaining records, preparing reports, data entry and analysis, handling correspondence, assessing permit applications, scheduling meetings, and organising files to ensure the efficient flow of information and operations of the Regulatory Services team.
- Contribute to the interpretation and administration of matter, including where there are no clearly established procedures.
- Contribute to the development of policies and procedures where they are not clearly defined to help streamline operations, identify areas for improvement, and implement efficient procedures.
- Provide excellent customer service through interactions with customers and stakeholders, addressing enquiries, resolving complaints and maintain positive relationships.
- Ensure plans, permits, applications etc. comply with the various relevant Acts, codes, regulations and standards
- Work closely with the different departments, teams and individuals within Council.
- Complete finance and procurement-related tasks, such as credit card reconciliations, assistance with tender/contract documentation, raising and receiving purchase orders, invoice or refund requests, and assistance with budget and annual fees and charges preparation.
- Provide assistance to the Manager of Regulatory Services, in the planning, coordination, implementation, and monitoring of projects to ensure deadlines and desired objectives are met.
- Provide administrative support to the Environmental Health Officer, including preparation of reports, correspondence, scheduling appointments and inspections.
- Coordinate the bookings and applications for itinerant roadside vendors, events held on Council land, prescribed activity permits, food licences including temporary licences and outdoor dining permits.
- Manage the Dogs Module in Synergy Soft including maintenance of Pound and Animal Register, Infringements Register, inclusive of entering details of infringement notices.
- Manage Stock Route Network Expression of Interests, Capital Works funding acquittals, updating SRMS (Stock Route Management System), Travel and Grazing permits and Water Agreements.
- Manage funding applications relevant to Council’s strategies and projects.
- Manage legislation compliance and enforcement correspondence, including Compliance and Remedial Notices, Caution Notices, Penalty Infringement Notices, and SPER referrals.
- At times of increased team workloads or short-staffing, this role may require some animal handling and direct contact with members of the public, such as receiving surrendered animals or releasing cats and dogs from the Pound.
- Other such relevant duties as required which would generally fall within the scope of this position as directed by the accountable supervisor and/or Chief Executive Officer.
