Key objective:
Compiling and coordinating day-to-day administrative and clerical duties in support of the business
Accountabilities:
The below list of accountabilities is not exhaustive and other duties may be assigned to the post holder, which are to be undertaken as requested or required.
• Answer and assist with all client enquiries via email and telephone
• Liaise with Interpreters to arrange on-site appointments for clients
• Complete the electronic delivery form and send to Interpreter prior to an on-site appointment
• Liaise with Translators to ensure work is completed timely and accurately
• Edit all translated documents to include our job reference number when returned from the translator, save it to the relevant location prior to forwarding it to the client
• Create/assign jobs in Gliderpath
• Ensure all jobs are closed off on Gliderpath when completed and all relevant paperwork forwarded to Accounts for invoicing
• Using the NAATI website contact new Translators and Interpreters to increase our resource pool
• Keep resource list current and up to date
• File all contractor applications under the relevant language in the ‘Contractor Files’
• Chase outstanding invoices from the Resources prior to the month end
• Produce quarterly reports for the CUA
• Prepare quotes/proposals for clients
• Arrange various simultaneous interpreters and equipment for large international conferences
• Work with Boostlingo to have the Perdaman Remote Interpreting Platform live
• Create Leap file and prepare quotations for all Migration Agents
• Assist with loading of visa’s when required once trained
• Create and manage CRM spreadsheet to assist RMA’s with their Client Health Check
• Conduct new file creation, checklist creation and saving of electronic documents
• Record client details in migration software (LEAP), update visa tracking sheets and other required areas accurately and efficiently
• Assisting visa coordinators in case management as required
• Creating and maintaining the spreadsheets
• Scanning, filing, archiving
• Cover reception when required
• Other administrative duties as directed
Education/Experience Requirements:
• Minimum of 3 years of administration and office experience
• Strong organisation skills, attention to detail and accuracy, Ability to multi-task and problem-solving skills
• Good computer literacy, knowledge of Word, Excel, Outlook (Legend, Maximizer or LEAP MM knowledge an advantage)
• Experience with electronic file management
