Company Overview:
Ulupna Pastoral Company operates across 11,00 hectares (27,500 acres) of irrigation land located in Nth Victoria and Southern NSW, which is double-cropped to provide security for our growing and progressive livestock team. Key Duties and Responsibilities:
Insurance:
- Liaising with our insurance broker to ensure new assets acquired are added to our insurance policies in a timely manner
- Ensuring all assets sold or traded are removed from insurance policies in a timely manner
- Requesting certificates of currency and endorsements for financing arrangements
- Management of insurance claims
- Respond to enquiries/requests from the brokers
- Annual reviews of all policies held to ensure accuracy
Fleet:
- Liaising with VicRoad to ensure new assets acquired are registered in a timely manner
- Ensuring all assets sold or traded have their registration canceled or transferred to the new owner
- Ensuring all new assets are added to the fleet management register, and SafeAg platform and are appropriately branded with fleet numbers
- In conjunction with the management team, manage the administration of asset sales and acquisitions via a Monday.com board.
- Reporting to various managers on fleet movements
Housing:
- In conjunction with the management team, manage the administration of staff housing, external tenants, vacant houses, and those requiring renovations via a Monday.com board.
- Reporting to various managers on staff housing movements, maintenance requests, subdivisions, fencing projects, and any related projects
- First point of contact for all staff regarding staff housing-related issues
- Processing maintenance requests in a timely manner
- Analysing the maintenance requests to identify trends and issues arising
- Scheduling of trades including booking, confirmation, and follow-up; and
- Assist our General Manager with subdivision administration management, site inspection support, and any ad-hoc requests.
- Administrative support with company service accounts including new connections for electricity and internet
General Administration
- First point of contact for customers and visitors.
- Monitoring and maintaining multiple inboxes and calendars.
- Keeping the office presentable at all times.
- Ordering and maintaining office supplies.
- General administrative tasks and support for multiple departments.
Desired Requirements:
- Proven Administrative capabilities.
- Exceptional written and verbal communication.
- Excellent computer skills, comfortable using Excel, Microsoft Word, and Monday.com.
- High level of attention to detail and accuracy.
- Ability to take initiative and work autonomously, as well as part of a team.
- Proven examples of collaborating and communicating with a range of audiences and stakeholders, both internal and external to the organisation.
- Ability to work independently with minimal supervision
