Position Overview: As an Administrative Assistant, you will play a crucial role in ensuring the smooth day-to-day operations of our office. You will work closely with our team, providing administrative support, managing phone calls, emails, and assisting with various tasks related to job files, invoicing, accounts, and customer service. Key Responsibilities:
- Manage telephone calls with professionalism and excellent communication skills.
- Monitor and respond to emails throughout the day.
- Set up and maintain job files efficiently.
- Generate sales invoices using MYOB.
- Handle accounts receivable and payable tasks.
- Prepare monthly statements and assist with credit control.
- Resolve day-to-day office duties, queries, and issues.
- Assist in coordinating service tradesmen.
- Support operations and service administration tasks.
- Utilise and maintain in-house systems effectively.
- Embrace opportunities to apply your expertise to help the company grow and maintain a loyal customer base.
- Contribute to a positive and efficient work environment within a small office team.
- Collaborate with team members on problem-solving and building and maintaining relationships.
Qualifications and Requirements:
- Skills in MYOB and Microsoft Office would be helpful but not essential.
- Ability to prioritize tasks, meet deadlines, and multitask effectively.
- Strong organizational and time-management skills.
- Enthusiastic, energetic, and a quick learner.
- Excellent telephone manner and communication skills.
- Ability to work both independently and collaboratively as part of a team.
