Job Description:
The Star Care Group plays a crucial role in delivering care and support to the individuals with disabilities in their homes and out in the community across the Perth metro area & regional area. We are seeking a highly organized and versatile Administrative Assistant to join our team. The said role will be responsible for providing comprehensive support across various administrative functions within the office environment. This role requires a proactive individual with excellent communication skills and the ability to multitask effectively.
Responsibilities:
Administrative Support:
- Assist with general administrative tasks including filing, scanning, and data entry.
- Oversee office correspondence by managing phone calls and emails, ensuring prompt responses, and forwarding important communications to the service manager.
- Coordinate meetings and appointments, including scheduling, preparing agendas, and taking minutes.
- Maintain office supplies inventory and place orders when necessary.
- Compiling comprehensive incident reports, documenting findings, and providing recommendations for preventive measures.
- Offering administrative assistance to the Human Resources department.
- Managing the company's promotional activities across various social media platforms.
- Development and documentation of comprehensive support plans and progress reports.
Reception Duties:
- Greet and assist visitors in a professional and courteous manner.
- Manage incoming and outgoing mail and packages.
- Monitor and maintain the reception area, ensuring it is clean and organized.
Facilities Management:
- Oversee the maintenance of office equipment and facilities.
- Liaise with vendors and service providers to ensure timely resolution of any maintenance issues.
- Perform thorough inspections of our disability accommodation facilities to ensure compliance with established standards and regulations.
Event Coordination:
- Assist with the planning and coordination of office events, meetings, and conferences.
- Arrange catering, equipment setup, and other logistical requirements for events as needed.
- Planning and coordinating client outing events to enhance client engagement and satisfaction.
- Coordinating events and exhibitions, including the setup and management of displays.
Document Management:
- Organize and maintain physical and digital filing systems.
- Ensure confidentiality and security of sensitive information and documents.
- Ensuring the accuracy of employee records and proactively managing document renewals to ensure compliance and prevent lapses.
Other Duties:
- Provide support to other departments as needed.
- Undertake additional tasks and projects as assigned by management.
- Offer shift coverage as a disability support worker as required, ensuring continuous support for individuals with disabilities.
Requirements:
- Proven experience in an administrative or office support role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office (Word, Excel, Outlook).
- Ability to prioritize tasks and work effectively in a fast-paced environment.
- Attention to detail and accuracy.
- Positive attitude and willingness to learn.
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Proficient in navigating Perth and possessing a valid driver's license, as company vehicles will be utilized for office errands.
