Our client is a reputed Japanese company. They are currently seeking an Administrative Assistant to join their Truganina office team.

*Requires Japanese Language Skills, and Drivers Licence and own transport.

*1-2 years contract (Minimum 14 months)

*At least 2 years' right to work in Australia without restrictions.

About the role:

This role will be responsible for interpreting and assisting Japanese expatriates.

  • Perform a wide range of administrative and support duties as directed by the Assistant Managing Director and Managing Director's Offices. These tasks may include, but are not limited to, accounts payable, travel and accommodation arrangements, catering organization, diary management, and secretarial services for meetings and internal communication.
  • Prepare various reports on administrative and financial matters for different stakeholders, including parent company reporting, business plan progress reporting, project reporting, banking, cash flow, and financial transactions.
  • Serve as an interpreter for expatriate team members, guests, and business travelers.
  • Coordinate with the parent company and other subsidiaries as required.
  • Provide administrative/ support services to membership-based groups, such as Japanese Chamber of Commerce and Industry and Japanese Society (as required)
  • Assist with planned or ad hoc projects under supervision or provide support as needed.
  • Ensure a safe work environment and adhere to safe work practices.

Skills and Experience:

We are looking for a candidate who demonstrates the following:

  • Native-level Japanese language skills with fluent English communication (verbal and written)
  • Over 3 years administration experience, preferably within an international or multinational organization.
  • Adept at paying attention to detail, prioritizing and organizing.
  • Strong interpersonal skills, demonstrated ability to establish and maintain professional relationships.
  • Strong problem-solving skills and conceptual ability.
  • Proven numerical and analytical skill.
  • Intermediate to advanced proficiency in MS Office suite.
  • Experience in financial reconciliations and preparation of financial reports.
  • Exposure to project coordination or management is desirable.
  • Proven ability to work both independently and collaboratively as part of a team.
  • Current Victorian Drivers Licence and own transport
