Job description

About the role:

This is an exciting opportunity to progress your career and obtain experience working in the Courts and Prosecution Services Division (CPSD) of the Victoria Police Legal Services Department (LSD). Our vision is to be a centre of prosecutorial and legal excellence, with people who are recognised as being fair, just and valued partners in the Victorian justice system.

Victoria Police's LSD provides legal services and advice to support policing, courts, and the Victorian Community. The LSD is led by an Executive Director (who is also the organisation's General Counsel) and employs over 800 staff spread across four divisions - the Office of the Executive Director; the Specialist Legal and Litigation Division; the CPSD; and the Legal Business Operations Division.

This is an exciting opportunity to obtain valuable experience working in the Legal Services Department at Victoria Police within the Ringwood Prosecutions Unit.

Victoria Police is seeking to fill this position with an enthusiastic, diligent and skilled Administrative Support Officer to undertake a range of administrative duties within the Ringwood Prosecutions Unit and provide assistance to a dedicated team of prosecutorial staff. As the successful applicant, you will have excellent organisational and time management skills, the ability to work effectively under pressure and proficient stakeholder engagement.

The primary function of this role is to undertake office administrative duties and provide assistance that ensures the effective delivery of a prosecution service to the Magistrate's Court of Victoria. You will work collaboratively with internal and external stakeholders using your excellent communication and interpersonal skills to build positive relationships and uphold the strong reputation of the Ringwood Prosecution Unit.

The successful incumbent will work within an office environment where the primary subject matter is the prosecution of offenders, however, you will also be exposed to broader youth justice issues and content.

Victoria Police is a contemporary and agile workplace and supports flexible working arrangements.

Your duties will include:

  • Answering and responding to telephone calls and emails
  • Appropriately managing and directing enquiries
  • Compiling the daily court list
  • Data entry into the Brief Management System
  • Filing, ordering, and general office administrative tasks
  • Sorting incoming and outgoing mail
  • Creating folders and uploading briefs to SharePoint
  • Undertaking other duties as required by line managers.

As the successful applicant, you will have:

  • The ability to work well within a small team environment and autonomously
  • Excellent organisational skills
  • The ability to effectively communicate with internal and external stakeholders
  • Strong interpersonal skills
  • Experience in Microsoft Office programs and the ability to develop skills in Victoria Police programs
  • A proven record of ethical behaviour and a demonstrated commitment to the Victoria Police code of Ethics and Organisational Values

Requirements and relevant information:

  • One (1) x Part-time (0.6 FTE), ongoing position available.
  • The salary range for a VPS2 role is $56,834 to $72,985 (Pro-Rata) (covering salary ranges VPSG2.1 and VPSG2.2).  Although it is standard practice for selected candidates to commence at the base of the salary range, genuine consideration will be given to a commencement salary within the available range that is commensurate with the successful candidate's knowledge, skills and experiences. This will be subject to negotiations with the Hiring Manager in the course of the selection process and may include the provision of evidence of a higher income and/or supporting documentation (as required).
  • This position is located at Ringwood Prosecutions, 41-43 Ringwood Street, Ringwood.
  • Applicants must be an Australian Citizen, Permanent Resident or hold a valid work permit or visa.
  • The successful applicant will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
  • As a member of the Legal Services Department you will be located, on selection, at a specific office within a Division for a particular advertised opportunity. However, given occasional legal service demand issues you may be required at times to undertake varied work within the Department.  This supports the Departments commitment to a flexible and deployable legal workforce and professional development opportunities in a range of legal domains.

Your application must include:

  • Resume
  • Completed application form - the word document (2. Application form) for you to complete and attach to your submission, is attached to the job advertisement.
