The role
The Administrative Support Officer provides business support for the provision of clinical governance functions of the Digital Strategy Division. Duties include liaison with internal and external stakeholders, allocation of CRL (Clinical Reference Lead) resources, managing travel requests, bookings, and processing invoices in line with contract terms and agreed policies/procedures.
The role is accountable for organising their workflow and making independent decisions relating to their work. In addition to the relevant duties, this position also requires the following:
Highly developed written and verbal communication skills
Awareness and understanding of Agency contract and finance policies and procedures, or the ability to develop this understanding
Key Accountabilities will include:
Effective allocation of CRLs to programs and activities
Assist with the development of accurate contracts for execution by both parties
With limited supervision process contracts and invoices for payment within required timeframes via SAP
Manage and co-ordinate the logistical support required to implement the CRL communications plan on any ongoing basis
Support the management of operational risk management relating to the clinical governance a related to the role, including maintaining the vendor, affiliations and conflict of interest registers
Provide secretariat support to clinical governance committees as required
Prepare a wide range of written material including correspondence, input to executive briefings and communications for internal and external audiences and meeting minutes
Liaise with internal and external stakeholders on policy, project, or operational issues
To be successful you will need:
Demonstrated business and administrative experience working on technology or business projects within organisations.
Proven ability to provide secretariat services.
Proficiency in SAP and Excel for finance and invoicing duties. Proficiency in systems such as MS Suite, SharePoint, Teams or similar.
Ability to build and maintain productive relationships with internal and external stakeholders.
Strong organisational skills with an ability to prioritise conflicting work demands to deliver outcomes effectively.
Demonstrated ability to maintain confidentiality of information, and to apply privacy principles in accordance with legislation.
To be eligible it is essential that applicants hold Australian Citizenship and will be required to obtain and maintain a Baseline Security Clearance.
