As a team member in the VIVA Support Centre the Administrator will operate collaboratively with other team members to facilitate our aims

 This job description is a statement of the core duties of an Administrator. It is not an exhaustive list. VIVA Mutual may revise this job description to meet the needs of the business and reserves the right to require you to perform other duties from time to time as mutually agreed

  

Accountability 

The successful appointee will be accountable directly to the Office Manager  

Role and Responsibilities 

Administrative support to a busy office environment of VIVA Mutual Foundation Limited, and its subsidiary, The RED Group Pty Limited. Ensuring staff and client records are maintained and up to date including compliance with regulations

Main Tasks and Responsibilities 

Dealing with all aspects of office administration including answering/re-directing telephone calls, taking messages, scanning, photocopying and mail

Reception duties, as required 

Supporting the audit of information on a regular basis to ensure compliance with regulatory bodies and VIVA requirements  

Ensuring timely records are maintained on the client records system 

Ensure that all staff have required checks/qualifications/training/clearance for any allocated duties 

Assisting to ensure that all NDIS Worker Screen checks have been approved 

Assist with recruitment activities including reference checking and interview set up 

Maintain records and complete paperwork to monitor the progress of applicants through the recruitment pipeline 

Arrange induction training for newly appointed staff and enrol in all online platforms

Support any administration trainees as directed by the Office Manager

Capture good news stories for social media release for VIVA and RED (Rapid Enterprise Development) 

Assist with screening and review of the Expressions of Interest (EOI) on the RED website. Assist with the coordination of participants to attend RED Workshops. Refer EOI to the coaching staff  

Coordinate the RED workshops and other RED events by communicating with participants prior to the events   

Training and Development 

To attend and participate in the company training program, both in-house and external to achieve the specified level of competency 

To prepare for, attend and participate in regular appraisal meetings as required 

To demonstrate a commitment to personal development 

Other Duties 

To treat all staff equally, fairly and respectfully in all aspects of the role. 

To carry out any other reasonable duties as dictated by the needs of the Service or as identified by the VIVA Support Centre  

Comply with the NDIS Code of Conduct at all times

PERSON SPECIFICATION –Administrator 

QUALIFICATIONS   No specific qualifications are required. Certificate III in Business Administration Desirable 

EXPERIENCE   

Experience in an administration role (Essential)  

Experience using care management software (Desirable)

Working within or knowledge of the NDIS environment (Desirable) 

 SKILLS   

Essential

Ability to work on own initiative and as part of a team. 

Ability to work unsupervised 

Good interpersonal skills, with the ability to get on well with people in person and over the phone 

Good communication skills 

Attention to detail, methodical with good organisational skills 

 KNOWLEDGE   

Competence in using IT systems – Microsoft Office: Word, Excel, Outlook, Teams etc.(Essential)

Knowledge of client management systems (Desirable)  

PERSONAL CHARACTERISTICS   

Professional approach to work. Positive attitude to people with disability  Essential  Conscientious and thorough

OTHER REQUIREMENTS   Driving licence and access to a car
