Davidson are working with a state government client who is seeking Correspondence Officer.
About the Role
You will be a part of the team by providing high quality administrative and correspondence support to the General Manager, Senior Leadership team, departmental officers and external stakeholders, in order to facilitate the administrative and executive matters relating to the business group.
The Correspondence Officer is a business-critical role in the Office of the General Manager, and is responsible for the coordination of a range of materials to support the functions including correspondence, briefing notes, discussion papers and cabinet materials.
The position works across the division and requires someone who is a multi-tasker, comfortable with working with deadlines and has good organisational and communications skills, and shows initiative and problem solving capabilities. Experience using HP Content Manager eDRMS would also be desirable.
- Coordinate all Ministerial and Director-General correspondence for the division ensuring a high standard within departmental deadlines and protocols. This would include, but not be limited to, briefing notes, correspondence, trip briefs, extension/reallocation/NRN requests.
- Coordinate deadlines and provide quality assurance in line with the Departmental Style Guide.
- Provide advice and support business group staff with respect to the preparation of briefing notes and correspondence.
- Monitor and manage correspondence reports.
- Provide high level analytical and problem-solving skills, exercise initiative, sound judgment and develop innovative solutions in a work environment with conflicting deadlines and priorities.
- Provide first level support and advice to all divisional users of HP TRIM system (record management system).
- Maintain a working knowledge of the role of Executive Assistant to the General Manager to assist with staff absences and workload fluctuations.
About You
- Demonstrated experience working within a similar role.
- Demonstrated experience coordinating ministerial correspondence.
- Experience with briefing notes, trip briefs, secretariat support.
- Experience working with HP TRIM system or similar record management system.
- Excellent communication abilities to effectively manage relationships with key stakeholders and support staff and management.
