The Team Leader for Records Operations plays a crucial role in overseeing the digitisation of DVA records, ensuring compliance with NAA standards and providing technical support for various tools, including HP Content Manager, CapturePro, and AdobePro. This leadership position extends beyond digitisation to managing workloads, coordinating physical file transfers, maintaining email inboxes, and overseeing statistics, workflow, rosters, and training programs. Proficiency in technical settings within digitisation software, image manipulation for error rectification, and monitoring automatic uploads to HP Content Manager are integral to the role. The Team Leader actively contributes to recruitment, ensuring a well-staffed team at Cannon Hill to meet objectives.
In addition to technical responsibilities, the Team Leader demonstrates functional expertise contributing to team goals and provides advice based on established policies. They assume accountability for allocated tasks, make decisions within defined parameters, and review work for trainees. Proactive in planning work goals aligning with team outcomes, the Team Leader maximises the benefits of change, identifies information for risk analysis, and contributes to service quality improvement. The role involves understanding relevant legislation and policy frameworks, exercising independent judgment, and resolving workplace issues with guidance. While working under general supervision, the Team Leader liaises with internal and external stakeholders, applies standard procedures to meet stakeholder requirements, and represents the work area at internal meetings. Additionally, they have supervisory responsibilities, including task allocation, training, quality control, and policy documentation preparation. The multifaceted role demands a blend of technical proficiency, organisational insight, and commitment to high standards in records management.
Duties
- Managing the digitisation of departmental records on demand from business areas and supply to the requester within agreed service level timeframes.
- Managing digitising paper records currently in business use and circulation.
- Managing the digitisation of records from the National Archives of Australia’s collection and the transfer of images to NAA post digitisation.
- Manage access of records within holdings at National Archives and private storage partners.
- Manage the sentencing and destruction of records in accordance with relevant disposal authorities.
- Managing quality control of internal digitisation, the automatic upload process, training and rectification of identified quality errors.
- Maintain statistical data and KPIs
- Identify opportunities to improve current practices and procedures
- Monitor work performance and provide feedback including any staff training needs
- Review workflows/workloads and allocate resources accordingly, ensuring that the team operates at optimum efficiency
- Liaise with internal clients and externals agencies and organisations, to ensure access to DVA files that are in our custody as well as files in NAA custody or third party storage
- Provide training and advice to staff on the Department’s record keeping system, policies and procedures
- Manage the incoming and outgoing files movements from DVA to third party storage/NAA and vice versa

Where a non-ongoing position is offered, the role will be filled for an initial specified term of up to 12 months.
A merit pool of suitable applicants may be created which may be used to fill future ongoing and non-ongoing vacancies should they become available over the next 18 months.
Successful applicants engaged into the APS will be subject to a probation period.
