The Opportunity:

We are seeking a Assistant Facilities Managerto join our on-site client-side team.

This role is responsible for workplace operations for our client, who is in the information technology field. We are looking for someone who demonstrates and instils a culture that matches our ‘I am JLL’ core behaviours and values of being an expert, proactive, innovative, and versatile team player and valuing the customer.

Assistant Facilities Manager will be responsible for managing all aspects of the facility management service delivery system on the client project; primarily Asset Management and Operations.  In this capacity, the AFM is accountable for the achievement of the Management Plan and all key performance indicators including, short and long-term projects, operations and maintenance. Based in Sydney with remote management of Melbourne office.

Responsibilities:

Client/Stakeholder Management

  • Deliver excellent customer service to meet on-site client’s expectations. Build and develop effective relationships with key stakeholders &/or clients and be comfortable working across all levels. Monitor procedures to ensure client’s expectations are conveyed and worked upon.

Procurement & Vendor Management

  • Manage multiple vendors, including hard and soft skills, to deliver services on time and within budget.

Contracts Management

  • Monitor expiry of contracts and initiate re-procurement if needed. Continually assess contracts to ensure the best value is delivered to the client.

Finance Management

  • Ensure that the site’s financial operations are meeting targets and control requirements. Assisted and monitored financial processes to ensure accounts payable procedures were followed at all times.

Health & Safety Management

  • Implement and manage safety procedures to ensure the provision of a safe working environment. Ensure compliance with statutory regulations on fire, health and safety standards.

Site Operations Management

  • Implement Industry Best Practice operations. Assisted and monitored to ensure all building procedures and performance measures were maintained at all times. Seek ways to reduce costs and improve operational standards • 24/7 emergency call support and site attendance are required during an emergency.

Risk Management

  • Follow established escalation procedures and incident reporting procedures. Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies.

  • Excellent written and verbal communication skills.
  • Logical and analytical thought processes that underpin clear, concise, and consistent communications to the project team and the client. Superior stakeholder management skills, with the ability to build & foster successful relationships with your client.
