Qualifications & experience
- The successful applicant will have experience in providing administrative support to a Project Manager in the negotiating, preparing, advertising, appointing, coordinating and managing the contractors’ and suppliers’ contracts on all Projects.
Tasks & responsibilities
- Provide/check schedules of documents, systems and procedures Provide advice on risks associated with specific projects as required. Monitor industry trends that might impact on the number, competitiveness, and quality of tenders.
- Liaise with the internal team to resolve day to day project matters. Assist in the preparation of scope documents including composition of the Principal Project Requirements (PPR) and FFE. Assist in the drafting and preparation of contracts and associated schedules. Prepare project Gant Charts.
- Reviewing contracts for compliance with the Principal’s requirements. Liaising between parties regarding contract development, and negotiations regarding terms and conditions, and drafting and revising changes as required. Identifying potential risks contract changes may pose to company.
- The composition and management of the Risk Register with the project and development team members. Establish and implement necessary systems for the operation of the tendering, contracting, scheduling, reviewing, managing and administering the work on each project.
- Review all drawings & specifications to identify ‘holes’ in the allocation of works and make the developers responsibilities back to back with builders where possible. Ensure contracts and scope of works are inclusive for each trade or consultant.
- Prepare schedule of prospective tenderer and their contact details. Prepare specifications and tender documents. Resolve critical issues throughout the project life-cycle. Ensure compliance with all procurement policies and procedures.
- Manage and prepare scope changes. Responsible for filing documentation and project correspondence daily. Maintain register of Subcontractors insurance, license details, and WH&S plans. Assist in all levels of verbal and written communication between the contractor staff, and our internal team.
- Maintain defect list and ensure communication with the contractor to ensure that work is done on time as represented to external stakeholders of tenants and purchasers. Assist the project team to ensure the timely and accurate approval of invoices, claims and variations.
- Assist in the provision of job cost reports and cashflows to the Project. Manager. Monitor and schedule retention releases in accordance with contracts whether cash or bonds Provide active in office support to the project and development team.
