The primary purpose of this position is to support the project delivery teams and the Pre-Contracts team in coordinating and preparing bid and tender responses to client specifications.
Qualifications and Experience
- Minimum 5 years’ experience in Bid & proposal coordination within infrastructure industry
- Degree or Diploma in business, marketing, communications or similar
- Demonstrated proficiency in the broad range of Microsoft Office products, particularly word and excel
- Brand awareness / corporate identity
- Ability to produce high quality work which meets client and business requirements
- Excellent interpersonal skills, with the ability to communicate effectively with all levels in the organisation.
- Ability to effectively prioritise a busy workload and meet project deadlines.
- Ability to clearly communicate deadlines to others, and provide assistance where required.
- Strong team player within a diverse environment
- Sound analytical skills and an ability to work with discretion
- Effectively coordinating bid and proposals submissions within guidelines and timeframes.
- Preparing and monitoring EOIs, RFIs and tender submissions, meticulously tracking tender documents through various tender portals.
- Critically examines tender and presentation requests, clarifying goals with all parties, coordinating all aspects of the pre-contract phase.
- Consulting with Bid Lead on the stakeholders required to provide input to submissions.
- Reviews tender documents for consistency of language, grammar, and format.
- Reviews general conditions, RFT, brief, schedule, scopes of work, contracts, hoisting plans, site logistics and other exhibits for tender submissions.
- Ensures the flow of tender information is maintained and documented.
- Assist in the preparation and review of work plans as requested
- Participate in start tender review meetings
- Assist in selecting subcontractors from lists based on their performances, ability and capability
- Solicit subcontractor and implement and manage subcontractor’s data base
- Handover successful tenders to PD/PM with full details and explanations
- Ensure tenders are submitted on time in the required format
- Arrange tender site inspections, site measures and taking and collating of site photos
- Maintain tender computer files and folders in format required and populate tender files accordingly for external/internal distribution and use.
- Maintain tendering outcomes including debriefings records for quarterly review
- Advise others within the company of contractors/suppliers not performing during the estimating and delivery phase to create a blacklist after repetitive failures in providing competitive tenders
- Maintain CVs, Capability Statements, Project Data Sheets, Organisational Charts, Presentations, Photographs, Brochures and Company Profiles in collaboration with Marketing for submissions.
- Ensure that required bid material is consistently seen as creative, progressive, innovative and appropriately reflecting the bid briefing requirements.
- Format proposal documents and associated documentation ensuring strong brand compliance
- Interaction with the Projects delivery teams to ensure continuous improvement in bid information and development.
- Escalate any issues to the Bid Lead and Head of New Business & Partnerships.
