About the role
We are currently seeking a Billing Specialist to join our finance team in our Sydney office. This role provides a fantastic opportunity to work closely with the Partners and their teams to manage and centralise billing functions. Currently, we are transitioning systems from Elite Enterprise to Elite 3E and this Billing Specialist will be essential in assisting teams with processing and finalising client bills with this new program.
What does the role involve?
- Coordinating and managing client billing and reporting processes for practice groups including preparing bills and billing templates for settlement and submission.
- Developing and maintaining client billing guidelines and providing training and advice on processes.
- Ensuring all lawyers timesheets are submitted and captured in the system.
- Applying disbursements to matters.
- Finalising bills and invoices including sending to clients and uploading invoices to clients finance portals where required.
- Opening new matters including conflicts clearance checks and managing confidential information.
- Ensuring billing workflows have appropriate documentation and approvals in place.
- Assisting with the processing and responding to requests received from the Client Accounting inbox eg: audit reports, time transfers, manual write-offs and reporting
- General administration and ad hoc reporting.

We are looking for individuals who in addition to possessing technical excellence are able to work collaboratively in a fast moving and high performance team to get things done. You should be practical and proactive in your approach in addition to demonstrating strong problem solving skills and work well in a team.
To be successful in this role you will have at least 5 years + experience with end to end billing, (ideally with Elite 3E) within in a legal or professional services environment. You will have strong organisational and time management skills, be able to work efficiently, have the ability to maintain confidentiality and be able to use your initiative to demonstrate a highly proactive approach.
