Job DetailsJob Title: Bookings OfficerEmployment Type: OngoingClassification: Parliamentary Service Level 4Closing Date: 11:30pm AEDT, 10 April 2024Contact: David Richardson, (02) 6277 2639, david.richardson@aph.gov.auThe OpportunityThe Department of Parliamentary Services (DPS) is seeking a PSL4 Bookings Officer to work in the Visitor Engagement section of the Parliamentary Engagement Branch.The Visitor Engagement section delivers quality tour interpretation and support services to diverse audiences including parliamentarians, building occupants and visitors. The team also supports civics and citizenship education (to compliment the work of the Parliamentary Education Office) by delivering building tours for school students.The Bookings Officer role supports Visitor Engagement Management in the effective collection of data, tour bookings and administrative support in the areas of pass printing and inbox management.Who we are looking forThe successful candidate will have proven capabilities in administration including data management, a keen eye for detail, and the ability to work to deadlines in a fast-paced environment. Effective and respectful collaboration is critical to the success of the position to support our large, customer focused team.The Bookings Officer will have experience in data entry, tour bookings and proficient computer skills. As a member of the Visitor Engagement leadership team the Bookings Officer will:
  • Contribute to the day-to-day operations of the Visitor Engagement team through the provision of high-quality customer service
  • Carry out the effective administration of tour bookings and related data
  • Ensure timely communication with internal and external stakeholders, including tour operators, event organisers, and building occupants
  • Support a high-performance culture, and
  • Support the team.

  • Obtain and maintain a Negative Vetting Level 1 security clearance,
  • Obtain and maintain a Working with Vulnerable People registration, and
  • Support the day-to-day operations of the Visitor Engagement team, including time in a front facing position at service points.

Immediate supervisor: Operations Manager, Visitor EngagementUnder limited/general direction undertake duties in accordance with the agreed standards for the Parliamentary Service Level 4 classification. The duties will include, but are not limited to, the following:1. Complete booking administration and data collection and entry tasks as required for the Visitor Engagement section, including maintaining reports as requested and managing day to day tour booking enquiries.
2. Ensure all event passes and concierge sign in documents are printed and available within defined timelines.
3. Ensure correspondence through the Concierge and Visitor Services inbox is managed and addressed as required.
4. Perform administration and other duties as required by the management team.
5. Support the daily running of the Visitor Engagement section including front facing customer service.
6. Keep up to date with and contribute to reviews of operational processes to ensure they are effective and relevant.
7. Understands and supports the strategic direction of the Parliamentary Engagement Branch and the Department of Parliamentary Services.
8. SalaryCurrently, the salary range for this position is $74,730 - $81,202 per annum.Conditions of EmploymentEmployment opportunities at Department of Parliamentary Services are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:
  • Australian citizenship - to be eligible for employment with DPS, applicants must be an Australian Citizen.
  • Security clearance and character clearance - the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.
  • Health assessment - a pre-employment health assessment will be required where there are physical or medical requirements for the role.
