The Kidd Clinic is a Private Psychology and Allied Health Clinic dedicated to supporting people with assessment needs and mental health difficulties. The Kidd Clinic provides a range of evidence-based assessment and therapeutic services to neurodivergent children, adolescents and adults, and others experiencing social and emotional difficulties. The clinic is owner-operated, focusing on client care, clinician development, and providing a supportive and well-resourced practice to provide the best outcomes for clients and their families. Due to expansion, we currently have 2-3 positions available and are looking for passionate part or full-time Receptionists and also a Bookings Officer to join our team. We are looking for warm, friendly, and confident individuals who are passionate about providing excellent client support, can work independently but also enjoy working in a busy and dynamic team environment.
Receptionist- Answering and managing incoming calls
- Directing queries to the appropriate person/location, including escalating any urgent requests
- Managing client appointment bookings, including rescheduling and cancellations
- Gathering and inputting the appropriate information required in the client booking system, ensuring accuracy at all times
- Ensuring clients are provided with the appropriate information prior to appointments
- Managing email, web and telephone requests for service
- In collaboration with the wider client care team, managing clinician diaries across multiple locations
- Providing exceptional customer service to clients
- Taking EFTPOS payments and processing Medicare rebates for clients
- Providing administrative support to the clinical team
- General administrative duties
Requirements
- Some experience working in a medical/allied health practice is an advantage but not essential
- Familiarity with Medicare and NDIS funding systems would be beneficial but not required
- Excellent communication skills with an ability to positively and empathetically interact with clients
- A mature professional attitude and ability to adhere to strict confidentiality and privacy requirements
- Exceptional organisational and work coordination skills
- Ability to work autonomously and as part of a team

- Computer literate with excellent data entry skills and attention to detail
- Experience working with Google Workspace, Power Diary and Mac operating systems preferred

- Respond to new client enquiries and support client intake and onboarding
- Determining suitability of new client enquiries and referrals
- Maintaining client enquiries data management
- Managing client booking list by ensuring client database is current and communicating with clinicians regarding potential clients
- Booking appointments using PowerDiary
- Continually perusing clinician calendars to ensure clients are booked in for their ongoing appointments
- General administrative duties
