Your new role
You will play a vital role in ensuring the smooth operation of our business by providing comprehensive office administration and executive support. You will be an essential member of our Wollongong office assisting in their day-to-day activities and helping to maintain high levels of efficiency and productivity. Your attention to detail, strong organizational skills, and ability to handle multiple tasks will be crucial in contributing to the overall success of the firm.
The role is based on 3 days per week (22.8hrs equivalent), with a flexible work pattern.
Your key responsibilities will include:
- Executive support for the leadership team when required
- First point of contact for Wollongong office management
- Manage the daily administrative tasks of the Wollongong office, including handling phone calls, emails, and correspondence with clients and suppliers
- Generate and process purchase orders and invoices accurately and in a timely manner
- Travel Management: Oversee all aspects of travel arrangements, including booking flights, accommodations and transportation for employees. Ensure compliance with company travel policies and budget constraints.
- Occasional travel to the Sydney CBD office may be required
You may also be required, within your skills, qualifications, and experience, to undertake other responsibilities and perform other duties or projects from time to time as the Company may require meeting its operating needs.
What we’re looking for
To be successful in this role you will already have prior experience in a similar role together with:
- Minimum 5 years in an administrative role, proven experience in executive support
- Certificate IV or higher in a Business Administration related discipline
Possess a class C Drivers' License - The ability to effectively set priorities, meet deadlines and adapt when last minute changes are required
- Advanced skills in Word and Excel, Basic PowerPoint, Outlook and Office365 software packages. Accurate typing, 70+wpm
- Well-rounded interpersonal skill set
- Good attention to detail with the capacity to build strong team relationships, work effectively in team environment
- Ability to initiate process improvements where required
- Exceptional communication and interpersonal abilities
