Business Support Officer

Location: Parramatta CBD (flexible working arrangement)

Employment type: Ongoing Full-time (1 vacancy)

Salary: Clerk 5/6, $93,295 to $102,941 p.a. plus employers’ contribution to superannuation and annual leave loading

Your role

The Department of Communities and Justice (DCJ) is the lead agency under the Stronger Communities Cluster. DCJ works to enable everyone's right to access justice and help for families through early intervention and inclusion, with benefits for the whole community. We have an opportunity for a Business Support Officer to be part of our Communications team. The Business Support Officer provides a range of administrative and support services including financial and human resource functions, and project support to senior staff within the business unit.

The primary purpose of this role is to provide a range of administrative and support services to facilitate the delivery of business operations for the Office of the Executive Director and for the Communications Branch.

What you’ll do

  • Provide a range of administrative and support services to meet the business needs of the team/unit, including activities that support project delivery and manage the Senior Executive/s diary appointments
  • Draft and prepare correspondence, agendas, minutes, presentations, and briefing notes to support the achievement of business requirements
  • Manage financial processes for the Branch, including raising purchase orders, paying invoices, preparing journals, and acquitting PCards as delegate for card holders
  • Respond to and resolve complex enquiries and issues to ensure the provision of accurate information, and the timely and effective resolution of issues
  • Coordinate and manage records and databases, complying with administrative systems, processes and policies, to ensure that all information is accurate, stored correctly and accessible
  • Develop, implement and monitor office systems, procedures and methods, adapting processes and techniques as required, to facilitate efficient team/unit operations in line with agency standards, policies and procedures
  • Gather and collate information for, and prepare documentation and reports on business unit performance, as well as make recommendations to improve efficiency, cost management and service delivery
  • Delivering quality administrative services and negotiating workable timeframes, given competing client demands and priorities, the need to address unforeseen issues, the high volume of work and the need to work independently

What we’re looking for

  • Demonstrated experience to provide high-quality Business Support services in a professional and client focussed manner.
  • Strong understanding of corporate services, office systems, procedures and methods, including procurement and finance policies and practices.
