The Parliamentary Business Resource (PBR) Framework Branch in Ministerial and Parliamentary Services Division (MaPS), within Finance, provides advice and support services on a range of matters pertaining to Parliamentarians’ work expenses in accordance with federal legislation. These include but are not limited to, property and facilities management and administration of work expenses.
PBR has a presence in the Commonwealth Parliament Offices (CPO) in each state and territory capital and manages the provision of services at these facilities.

ABOUT THE OPPORTUNITY
The Client Service Officer works within a small team based in the Melbourne Commonwealth Parliament Offices (CPO). The team provides a range of client focussed services and support within the Parliamentary Business Resource Framework, for current and former Parliamentarians and Members of Parliament (Staff) Act 1984 (Commonwealth) employees.
The role involves assisting in the management of the Melbourne CPO which provides accommodation and facilities for visiting Parliamentarians and their staff, including co-ordinating meetings and bookings for other agencies. The role supports electorate offices throughout Victoria and oversees the delivery of property related services to these offices.
The key duties of this role are:
- meeting with clients and stakeholders including MoPS staff in relation to the provision of services by the Department of Finance
- supporting the team in the day to day running of the MaPS office and the CPO, with the capacity to triage tasks and manage conflicting priorities
- providing on-site support for visitors to the CPO, including TelePresence meetings as required
- coordinating and managing visitor bookings and access for the CPO, including allocation of suites and facilities, security processes and on-site support for visitors. Liaise with Ministerial office and visiting Parliamentarian’s regarding CPO issues
- providing assistance to State Manager and Assistant State Managers with electorate office accommodation projects, including relocations, new fitouts, refurbishments and minor electorate office works
- liaising and coordinating with service providers and Parliamentarian’s staff regarding office maintenance requests and management of associated work orders or procurement. Manage tasks for office relocations
- checking, approving or processing payment of accounts for work expenses within the parameters of the Parliamentary Business Resources Act 2017, and assisting with reporting requirements
- performing ad hoc tasks as directed.

ELIGIBILITY ADVICE & CANDIDATE NOTES
- Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS) unless the Agency Head has agreed otherwise, in writing.
- Successful applicants will be required to undergo the process to obtain and maintain, or continue to hold the required security clearance level for the role as indicated in the downloadable job pack. All Finance staff are required to have a minimum baseline security clearance prior to commencement.
- This role is being advertised as both ongoing and non-ongoing. Roles may be offered as either ongoing or non-ongoing subject to business needs and/or candidate preference. Where a non-ongoing position is offered, the role will be filled as a specified term vacancy for an initial period of 18 months. Specified term vacancies may be offer for a maximum of 18 months initially, and be extended up to a maximum period of three years.
