St John Ambulance (Vic) has been saving lives and delivering care and compassion throughout Victoria for 140 years. Our volunteers and our staff are the lifeblood of everything we do. We are currently recruiting for a Community Program Coordinator to coordinate bookings for our Community Programs.
The Opportunity
At St John Ambulance (Vic) we are super proud of our First Aid in Schools program, which is often a child’s first experience of First Aid education. You will support our Community Programs through scheduling and coordinating bookings for our First Aid in schools and Party Ready Programs.
This role involves scheduling school sessions through bookings, confirmations, reporting, handling queries and troubleshooting regarding resourcing and availability. You will also be supporting our other Community Programs through booking and administration support.

Key Responsibilities
- Review booking queries in a timely manner
- Negotiating appropriates dates with internal terms and schools to ensure that bookings can be appropriately resourced
- Communicate with schools confirming, rescheduling and changes to bookings
- Enter booking into SAP booking stems ensuring accuracy
- Liaising with Community education Officers to regarding bookings, timetables and resources
- Manage scheduling conflicts, cancellations and reschedules
- Manage bookings and administration for the Part Ready - Secondary schools program
- Liaise with Party Ready Officers and Secondary schools for booking and scheduling requirements
- Outreach to schools to build program awareness
- Work with fundraising department to secure funding
- Driven with the ability to work autonomously within a team environment
- Strong attention to detail in data entry and administration
- Ability to problem solve and negotiate changes
- Excellent verbal and written communication skills
- Demonstrated time management skills
- Excellent customer service skills
- Experience in scheduling or booking will be highly regarded
