Position Title: Construction Administrator
Reports To: QLD State Manager
Location: Nerang Office, Queensland
POSITION OVERVIEW
As a Construction Administrator, you will be at the forefront of our growth story. You will be responsible for guiding our clients throughout the pre-construction and construction journey, including all administrative tasks, all facets of document control, managing building approvals and permits, and ensuring compliance with all contract obligations.
KEY RESPONSIBILITIES
On-Site Administrative Support:
Provide administrative support to the Construction Team.
Issue frame and non-compliance notices to trades and monitor until resolved.
Request and receive all relevant certificates during construction as required to obtain the final certificate of occupancy.
Issue client contractual documentation such as commencement notices and extensions of time.
Prepare and collate all handover documentation and keys in preparation for property handover.
Enter defects into CRM and issue to trades, follow up until resolved.
Prepare and manage notices to fence with neighboring owners/builders.
Project Documentation:
Order and receive key project documentation such as soil tests, contour surveys, working drawings, and engineering reports.
Assist with working drawings compliance checks.
Prepare and manage client documentation including post-contract variations and color & product specifications.
Pre-Construction:
Prepare and manage building applications, council permits, and covenant applications.
Oversee and manage the pre-construction process for assigned projects, ensuring all tasks are completed accurately and within assigned timeframes.
Client Liaison:
Act as the point of contact for clients after contract signing to guide them through their bilding journey.
Provide regular updates to clients at each key milestone throughout the post-contract and pre-construction phase.
Provide fortnightly progress updates to clients during the construction phase.
Assist and answer any client queries throughout the job lifecycle, addressing any client concerns with tact, accuracy, and promptness.
Ensure all client communications are entered into the CRM within the same day.
Alert management to any escalated client concerns or matters with potential to escalate.
General:
Ensure the company CRM is kept up to date at all times, including all To-Do list activities.
Attend weekly workflow meetings and take meeting minutes as required.
Assist with reception duties and general administration duties as needed.
Provide support to other team members as required.
Comply with company WH&S policies at all times.
SKILLS & EXPERIENCE
Minimum of 2 years of experience in administration within the residential construction industry.
A tertiary degree in business administration or related.
A solid understanding of building plans and specifications.
Excellent communication and interpersonal skills.
Strong problem-solving and decision-making abilities.
Proficiency in Onsite Companion CRM system.
Exceptional organizational skills and a keen attention to detail.
