An exciting opportunity is now available for an experienced Contracts/Construction Administrator or Co-Ordinator to be a key part of our journey and to join our tight-knit team in our Gold Coast office.
Position Overview:
As a Senior Contracts/Construction Co-Ordinator at MacBild Group, you will play a vital role in our organisation by preparing contracts and tender quotations, as well as overseeing the post contract and pre-construction workflows, ensuring compliance with all contract obligations and providing senior support to the office team. Additionally, this role provides executive and sales support to the QLD Manager, contributing to the overall efficiency and success of operations.
Your day-to-day responsibilities will include:
- Prepare accurate contracts and agreements, ensuring legal and company compliance.
- Provide guidance to fellow team members on contractual obligations.
- Maintain contract records in the company CRM, tracking and managing key dates, obligations, and milestones.
- Assist with the preparation and submission of formal quotations.
- Oversee and manage pre-construction tasks for projects, ensuring timely and accurate completion.
- Provide senior support to the pre-construction team, liaising with consultants and external stakeholders to gather necessary documentation and approvals.
- Act as a client escalation point and address client concerns with tact and promptness.
- Provide comprehensive EA support to the QLD Manager including scheduling appointments, preparing reports, presentations, and correspondence.
- Assist in lead generation, client follow-ups, and preparation of sales materials.
- Provide support to Senior Management across both states.
- Ensure smooth office operations by managing supplies, equipment, and facilities.
The Ideal Candidate:
- Minimum of 5 years of experience in a Senior Contracts or Construction Administration role within the residential construction industry.
- Proven experience in an executive assistant role supporting senior management.
- A tertiary degree in business administration or related.
- Profound knowledge of building and contract laws, regulations, and industry standards.
- A solid understanding of building plans, engineering, consultant documentation and specifications.
- Excellent communication and interpersonal skills.
- Strong problem-solving and decision-making abilities.
- Proficiency in Onsite Companion is highly regarded.
- Exceptional organisational skills and a keen attention to detail.
