About the Role:
We are seeking a detail-oriented and organized Project Administrator who can manage, evolve and further develop the internal administrative functions for the business. You will play a crucial role in supporting our director and Site Supervisor to ensure the smooth operation of all Construction Projects from inception to completion. The position is full time and experience in Buildertrend and Xero will be highly regarded.
This opportunity will be hands-on and strategic and will involve interacting regularly with our team, clients, suppliers and external consultants. You will help drive projects from a financial and administrative perspective and ensure that all deliverables are completed in a timely and profitable manner.
Role Responsibilities:
- Assist project managers in planning, scheduling, and coordinating project activities
- Prepare and distribute project documentation, including contracts, change orders, and progress reports
- Maintain project files, ensuring all documentation is accurate, complete, and properly stored
- Track project expenses and assist in budget management
- Coordinate meetings, including scheduling, agenda preparation, and minute-taking
- Communicate with subcontractors, vendors, and suppliers to ensure timely delivery of materials and services
- Monitor project progress and update project schedules as necessary
- Assist in the preparation of proposals, bids, and project estimates
- Ensure compliance with company policies and safety regulations
- Provide administrative support to the project team as needed
- Obtaining completion certificates for works done as needed
- Accounts receivable
- Raising invoices to customers throughout the construction process
- Subcontractor/Supplier record management
- Assess and document current administrative processes and policies to improve efficiency, strengthen internal controls and reduce time and costs
Required Skills & Attributes:
- Proven experience as a Project Administrator, project coordinator, or similar role in the construction industry
- Proficiency in project management software (e.g., Microsoft Project, Procore, Buildertrend, Google Suite)
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- Detail-oriented with a focus on accuracy
- Ability to work both independently and as part of a team
- Knowledge of construction processes, terminology, and best practices is preferred
- Bachelor’s degree in Construction Management, Business Administration, or a related field is desirable
- Book Keeping/ Accounts Receivable experience
- Experienced in Xero
