The Summit Constructions is a QBCC Registered building contractor renowned for providing exceptional construction services, including Site Analysis, Feasibility Studies, Preliminary Design Studies, Construction Tender, Project Management, and more. We manage a diverse portfolio of residential and commercial projects across Queensland and North NSW regional markets.
We are seeking a motivated and detail-oriented Program or Project Administrator to join our dynamic team. As a Program or Project Administrator, you will play a critical role in supporting the successful delivery of construction projects by managing administrative tasks, coordinating project activities, and ensuring effective communication among stakeholders.

Your role includes but are not limited to the following:
· Develop, review, and negotiate variations to contracts, ensuring alignment with project goals and regulatory requirements.
· Conduct regular site inspections and reviews to verify that all work is being performed according to the project plan and contractual agreements. Identify any deviations from the agreed-upon scope of work and take prompt action to address and rectify issues as they arise.
· Support project cost forecasting exercises, helping to predict and manage project expenses effectively.
· Assist with the valuation of monthly progress claims.
· Support pre-site administration related work with building documentation, client approvals and necessary financial approvals.
· Support the onboarding of construction suppliers and trades as necessary.
· Support customer enquiries and facilitate the resolution of those enquiries.
· Reschedule jobs based on priority and/or high-volume events to support client and customer requirements, including rostering of staff and trades.
· Assist in meeting client contractual and compliance expectations.
· Collaborate with Architects, Engineering Professionals, owners, and other stakeholders to ensure project goals are achieved effectively and efficiently.
· Provision of administrative support through the processing of jobs, invoices, archiving and other duties as required.
· Provide support in strategic decision-making to ensure that all objectives are met within the designated timeframes and budget constraints.
· Prepare specialized reports for stakeholders, including clients, contractors, and regulatory bodies, tailored to their specific information needs and interests. Ensure timely submission of all reports, meeting all deadlines and providing stakeholders with the information they need to make informed decisions.
Requirements - capabilities and competencies
· Minimum 4 years’ experience as Project Coordinator
· Bachelor in Business Administration is preferable. At least Diploma qualification in Business Administration
· Experience with high-end or custom builds
· Experience with DataBuild software
· Strong track record of contributing to project delivery in alignment with schedules, budgets and customer expectations
· High level of data entry skills – speed and accuracy of input.
· Contributes to the team and works collaboratively.
· Intermediate to advanced use of the Microsoft Office suite.
· Ability to organise and prioritise tasks whilst under pressure and to meet deadlines.
· Strong time management and prioritisation skills
· Outstanding written, verbal and interpersonal communication skills and the ability to liaise with many different types of people in a positive manner
· Mandarin-speaking is advantageous
