Peoplescout are excited to be partnering with CBC Facilities Maintenance, at a critical point in their growth phase. CBC is a trusted provider of integrated facilities management, asset management and construction services throughout Australia.
CBC have an exciting full-time opportunity available for 2 Contracts Administrators to join the growing Melbourne team. Reporting into the State Contracts Manager, you will be based out of the Melbourne office, in Keilor Park working Monday - Friday.
There is flexiblity with start and finish times and hybrid working.
About the role:
This role will include the following responsibilities:
Take incoming calls from all relevant stakeholders as required
Maintain the Fire Division inbox for current and new jobs and all other stakeholder requests and requirements
Allocate jobs that come in to a technician (both internal and external)
Communicate with Technicians to advise them of job requirements and updates
Coordinate site bookings, ensuring the appropriate confirmation and notice is provided
Update the Technician schedule to add in jobs, relocate and reallocate works
Uploading Testing Sheets, ready for the Technicians to use and ensure the documentation has been uploaded once the testing has been completed
Send completed test results to the relevant stakeholders
Raise Reactive and Request for Quotes (RFQ's)
Ordering materials for the relevant jobs
Develop and maintain effective working relationships with stakeholders
Preparation of documents and reports
Work closely with facilities coordinators and managers to assist with the delivery of high-quality work
Provide general administrative assistance for contracts, projects, and current maintenance works
About you:
This is a great opportunity for someone with a high drive for success and contract or project administration experience with a few years' experience in a similar role. Ideally you are:
A highly resourceful team player, with the ability to work independently and use initiative
Have an ability to meet deadlines with strong time management and organisational skills
You are energetic, proactive and have excellent written and verbal communication skills
Have a high level computer competency in Microsoft Office applications
Requirements:
National Police Check (or willing to obtain)
Construction or Facilities Maintenance experience desirable
