About the role:

Reporting to the Project Manager, you’ll be a hard-working achiever responsible for administering our contracts to deliver successful projects and mitigate our risk. A vital linchpin in our project team, you’ll work with the Project Manager and our cadets to evolve and streamline our administrative processes to achieve great outcomes for the business, our sub-contractors and our clients. We’re outcomes-based and you’ll work on-site, at our Brendale office and or remotely, as required to achieve the project goals.

You’ll need to be someone with a good eye for detail as you’ll be working on a wide range of responsibilities – from writing scope of works, assessing and letting subcontracts, procurement and monthly project cost reporting, to name just a few. Because we work with blue-chip clients to tight deadlines, you’ll also be someone who can juggle several tasks at once and be comfortable working under time pressure. We’ll also look to you for input on overall project delivery strategy and to keep us abreast of industry developments so we’ll lead in this field.

Note this is not a role for an industry hack. We are looking for someone with integrity and excellent communication skills who can create positive, long-lasting relationships that deliver successful business outcomes. In essence we are looking for an administrative whiz who can take our project team to the next level and over the longer-term carve out an iconic role for themselves in our thriving and expanding company.

What does this look like? (A snapshot of a Contracts Administrator with ACC)

  • Establishing and maintaining excellent client and subcontractor relationships.
  • Responsible for understanding all aspects of the project’s administration from project award to scoping, procurement of works and completion of the project by release of retentions and compiling final claims.
  • Assist the estimating team with tenders and market coverage.
  • Responsible for creating RFI’s and maintaining an up-to-date register of items outstanding.
  • Responsible for developing, monitoring, and maintaining the procurement schedule in line with the project’s target program.
  • Assist the Project Manager in preparing the project for practical completion.
  • Work within the scope of costs and budget for projects. 
  • Ensuring compliance with relevant regulations/safety guidelines and quality standards. 

To be successful you will need:

  • Demonstrated past experience and a track record of success in a contract administrator’s role in a fast-paced environment. 
  • Excellent administrative skills, including experience in using IT systems to achieve effective business outcomes, on time and on schedule.
  • Demonstrated achievement in reaching targeted timeframes and prioritizing under pressure.
  • A demonstrated ability to effectively deal with clients, to deliver excellent results.
  • A demonstrated ability to work autonomously, and collaboratively with a team, to achieve successful outcomes.
  • Developed and maintained positive relationships with colleagues and clients in past roles.
  • A demonstrated commitment to continual improvement, innovation, and learning.

Licenses/Certifications required:

  • Tertiary qualifications in building, construction management, engineering, quantity surveying or similar.
  • Diploma or Certificate in building or quantity surveying and estimating.
  • Open Builders licence (desirable)
