What this opportunity involves:
We are currently seeking a strong administration all-rounder to join us to be our next Corporate Real Estate Administrator. The client is a well-established and reputable industry player in the Technology sector.
Based on-site in North Sydney, this role has lots of variety where you will be involved in Finance, projects and leasing related tasks. You will be interacting with stakeholders of all levels through various channels.
We are looking for someone who enjoys working autonomously as well as in a busy team environment.
Please note: This is a 12-months fixed-term contract with possibility of an extension or conversion.
Snapshot of the role:
- Assist in preparing RFPs, review and analyse, and work on tender completion activities
- Assist in keeping project Smartsheet (or on the new platform that is being rolled out) up-to-date, including project program, financials, PO tracking, and prepare monthly reporting – all active projects
- Assist in managing, executing and completing all aspects of a surrender project to successful completion before mid-2024
- Assist in ensuring commercial terms in legal lease documentation (nationally or in ANZ) is accurate and work with other relevant parties to execute
- Assist in ensuring leases are promptly sent to REFX admins
- Assist in working with relevant stakeholders and preparing reports for any Real Estate review, then execute the approved approach/plan
- Assist in closing out any project activities (includes fitout projects, closing out reports, Green Star and WELL accreditation tasks)
- Creating new vendors and purchase orders in SAP system
- Assist in completing monthly OPEX forecast, monthly accurals, quarterly CAPEX forecast, and updating previous quarters actual
- Strong administrative background with ability to juggle priorities and work within tight operational deadlines
- Understanding of Real Estate, Project Management and/or Finance will be an added advantage
- Self-started, ability to take initiatives in following-up, coordinating with stakeholders and getting things done with minimal supervision
- Sound communication and interpersonal skills to liaise and build rapport with a diverse range of stakeholders
- Prior experience in SAP / Ariba software will be highly desirable
- Sound proficiency in using Microsoft Office suite (e.g. Excel, Powerpoint)
- Proficiency in MRI / Argus or other asset management software will be desirable
