Position Overview
We are seeking an experienced Data Administrator to coordinate the flow of production data across various sources and systems including Trello and Fishbowl. We are looking for someone who is technically savvy with digital platforms, has advanced Excel skills and is systematic and detailed in maintaining data. This is a part time role, 20 hours worked across Mon-Fri between the hours of 9am and 3pm.
Responsibilities:
Operational Reporting and Production Support:
- General Support: Assist other departments with Excel, formulas, database management, inventory reports, and templates
- Production Schedule Management: Update and maintain the production schedule sheet, data entry, alignment and reconciliation of schedule with schedule with CRM system, align mais schedule with purchasing/supply chain tabs
- Work with sales team/front of the house to align any moves and changes that impact manufacturing line, working with CRM specialist and Customer Service manager
- Reporting: Perform daily updates on current reports, liaising with other departments, and create new reports as requested (database is HubSpot and Fishbowl)
- Prepare PowerPoint slides for meetings.
- Manually update factory map
Support Tools and Platforms:
- Create Trello boards
- Request Van Certificates
- Maintain Trello board templates and generate reports, in collaboration with other departments
- Keep track of final post specifications and update Trello with notes
Skills and Experience
- Advanced Excel Skills – proficiency in Excel, including advanced formulae and data analysis
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with database management and reporting
- Familiarity with CRM system (not mandatory)
- Experience and familiarity with Trello
- Strong attention to details and accuracy in data entry and reporting
- Excellent organization and time management skills
- Ability to work independently and collaboratively within a team
- Familiarity with data management best practices
- Exceptional technical understanding, enabling efficient day-to-day operations and support functions management.
- Strong problem-solving abilities, delivering prompt resolutions to issues as they arise.
