As a Dental Receptionist, you will be the first point of contact for patients visiting or contacting our dental practice. You will play a crucial role in providing exceptional customer service, managing appointments, handling administrative tasks, and ensuring smooth operations within the dental office.
Responsibilities:
Patient Communication: Greet patients warmly and create a welcoming atmosphere. Provide outstanding customer service by answering phone calls, scheduling appointments, and addressing patient inquiries or concerns promptly and professionally.
Appointment Management: Efficiently schedule and confirm patient appointments using the dental practice management software. Coordinate with dental staff to optimize scheduling and maintain a balanced workflow. Notify patients of upcoming appointments and manage the recall system.
Patient Registration: Collect and enter patient information accurately into the electronic health records system. Update and maintain patient records, ensuring confidentiality and compliance with privacy regulations. Verify insurance coverage and process necessary documentation.
Billing and Insurance: Assist patients with billing and insurance inquiries, explaining treatment costs, coverage details, and payment options. Process insurance claims and verify coverage to ensure accurate billing. Collaborate with insurance companies and third-party payers as needed.
Office Administration: Perform general office duties, including managing the reception area, maintaining a tidy and organized office environment, and ordering office supplies as necessary. Sort and distribute incoming mail and handle outgoing correspondence.
Financial Management: Collect payments from patients, accurately record transactions, and provide receipts. Reconcile daily financial reports and prepare deposits. Assist with financial arrangements and discuss payment plans with patients.
Patient Records Management: Assist in maintaining and updating patient records, including medical histories, treatment plans, and consent forms. Ensure proper documentation and record keeping in compliance with regulatory requirements.
Team Collaboration: Collaborate with dentists, dental assistants, and hygienists to ensure seamless patient care and effective communication. Assist in managing the flow of patients, maintaining appointment schedules, and addressing any operational issues.
