About the role:
The District Administration Assistant role provides vital support to our District Offices, will report to the District Secretary and is a part of RSL Queensland’s Membership and Network team. The successful candidate will be a self-starter, someone that can show initiative and work autonomously. Responsible for the efficient, and client-focused provision of high-quality Customer Service, the role is a part-time position working 3 days per week (22.8 hours) and will be based at the Bundaberg District Office.
Key Accountabilities:
- Ensure a high level of customer service to all external and internal clients by welcoming all visitors on-site, determining the nature of business, directing them appropriately, and notifying relevant staff member of visitor arrival.
- Take calls for the office in a professional and efficient manner, determine purpose of call and forward to the appropriate staff. If appropriate, answer questions and queries about the organisation and provide callers with addresses, directions, and other information
- Respond to distressed callers that come through in a professional and empathetic manner, direct to appropriate services and staff efficiently.
- Undertake general office administrative duties, e.g., incoming mail, postage, monitoring and ordering supplies, photocopying, scanning, filing.
- Assist with the organisation of meetings, preparing invitations and agendas, printing documents, organising catering, accommodation, travel, co-ordinating follow up actions.
- Assist in the preparation of monthly and quarterly reports, for example, Volunteer Welfare Hours, Charitable Object Fund and Cadet Fund applications and acquittals.
- Update directories, collect data and prepare reimbursement claims, policy and procedure updates, documents, and general correspondence for consideration
- Receipt of incoming deliveries.
- Ensure National and RSL Flags are presentable whilst flying.
- Attend District Activities and events as required.
The ideal candidate will have experience in delivering exceptional customer service along with strong written and verbal communication skills. Additional requirements include:
- A current Australian drivers’ licence
- Excellent working knowledge and use of Microsoft Word, Excel and Outlook
- Demonstrated solid interpersonal, oral, and written communication skills, with the ability to consult, communicate and problem solve effectively
- Practical thinking and ability to deal with situations in a calm and coordinated manner
- Ability to work independently as well as in a team environment
- Physical ability to bend and reach above the shoulders carrying 5 – 7 kg load.
