Event Coordinator - Western Australian Museum - Boola Bardip
We are seeking for a passionate Event Coordinator for a Full-time role to join our team at Heyder and Shears who shares our enthusiasm for catering.
You will be working closely with our current WA Museum Senior Event Manager, and you will be trained in all aspect of the job. This is a hands-on role where you will be expected to execute events from start to completion. Weekend availability is required.
As part of this role, you will plan events, create menus, and work with numerous suppliers in the management of all things events at Western Australian Museum - Boola Bardip (WAM). Heyder and Shears are the exclusive catering provider for this premium venue.
This is the perfect role for someone who enjoys the structure of working for a premium venue, whilst still having the flexibility to think outside the box, and create some truly amazing events. This venue is highly sought after, and the events are varied and of premium standard.
To fit the bill, you will need:
- A boundless appetite for food and good produce
- Keen eye for unique, quirky and innovative events globally for inspiration
- Demonstrated interest and experience within the catering and hospitality industry
- Ability to ease into a strong, successful team and able to adapt to different environments quickly
- An eye for detail and consistency
- Good time management, with an ability to work quickly and solve logistical issues efficiently under pressure
- Have an Approved Manager Certificate, or willing to get one before commencing work (Must have RSA)
General Event Coordinator Responsibilities:
- Understand the contractual arrangements between Heyder & Shears and the Western Australian Museum and ensure all KPI’s are exceeded, and all obligations met. This role also plays a key part in building and maintaining the relationship with WAM appointed department heads, ensuring all feedback is actioned appropriately
- Oversee the Operations and Logistics for events within WAM
- Coordinating events; menu writing, scheduling, overseeing production and styling, sourcing venues, bump in/out schedules, and overseeing logistics with acute planning
- Writing creative menus and conceptualising events. Identifying opportunities to enhance outcomes for clients
- Use shared venue management system, Priava and ensure always up do date
- Developing the clients' ideas and guiding them in what is necessary and acceptable for their event. Make sure the whole event is executed to the highest standards
- Exhibit strong food and beverage knowledge, exploring new trends and ensuring the venue remains a premium location of choice within WA
- Have presence at nominated events at WAM – ensuring client satisfaction, support to Function Mangers and troubleshooting issues to avoid event impact
- Developing and nurturing client relationships, as well as relationships with suppliers
- Maintain a standard of confidentiality with company matters
- Drive organisational culture – positive work environment
- Actively contribute to office management, welcoming guests and supporting other team members as required
- A willingness to support events managed by Heyder & Shears, including being an active member of the team on our large high profile events
- Ensure approved manager certification is maintained at all times
- Exceptional presentation, appropriate for the corporate sector
