Overview
Pink Tank Events owns the rights to Miss Universe Australia and RQCC, as well as managing much of the operations of children’s charity ToyBox Australia.
Pink Tank Events has partnered in events with numerous luxury brands, including Sunseeker Australia, Dom Pérignon, Hennessy, Audemars Piguet, Ferrari, and Maserati.
The Pink Tank Events team is continually implementing exciting plans for new events, while evolving its current winning formulas. The Events Coordinator will be responsible for planning, organising, and executing a range of events for Miss Universe Australia, RQCC, and ToyBox Australia. The ideal candidate is highly organised, detail-oriented, and has a proven track record of managing successful events from conception to completion.
Key Responsibilities
Event Planning and Coordination
- Develop and manage event plans, timelines, and budgets.
- Coordinate all event logistics, including venue selection, catering, transportation, accommodation, volunteers, and vendors.
- Work closely with internal teams and external vendors to ensure seamless event execution.
- Create detailed travel and event schedules.
Vendor Management
- Source and negotiate contracts with vendors and suppliers.
- Maintain positive relationships with vendors to ensure high-quality services and products.
- Oversee vendor performance and manage any issues that arise.
- Scout for new collaboration opportunities with venues and suppliers.
Marketing and Promotion
- Collaborate with the social media and marketing team to execute effective marketing campaigns for events.
- Manage communication with local and national media outlets, including the construction and provision of media releases for upcoming events.
- Manage ticket sales and attendee communications.
On-Site Management
- Oversee event setup, execution, and teardown.
- Manage event staff and volunteers, ensuring they are well-prepared and briefed.
- Troubleshoot any issues that arise during the event to ensure a smooth experience for attendees.
- Always maintain a professional work ethic during events.
Administrative and Ad Hoc Duties
- Manage the general inquiry email inbox.
- Recruitment of Miss Universe Australia finalists and RQCC participants.
- Manage and sort all Miss Universe Australia registrations, including following up on incomplete applications and sending acceptance and rejection emails (working from templates).
- Field enquiry calls.
- Assist the team in all areas as required.
Additional Responsibilities
- Budget Management: Monitor event budgets and ensure all expenses are tracked and reported accurately.
- Post-Event Analysis: Conduct post-event evaluations to gather feedback and assess the event's success, identifying areas for improvement.
- Stakeholder Engagement: Maintain strong relationships with key stakeholders, including sponsors, partners, and participants.
- Innovation: Continuously seek out new ideas and innovations to enhance the event experience.
- Compliance: Ensure all events comply with relevant regulations and obtain necessary permits and licenses.
- Volunteer Coordination: Recruit, train, and manage volunteers, ensuring they are effectively utilised and motivated.
Desired Skills and Qualifications
- Bachelor's degree in Event Management or a related field, or equivalent hands-on experience in Event Coordination and/or Event Management.
- Strong organisational and project management skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Creative problem-solving skills and attention to detail.
- Ability to travel and work flexible hours as required.
- Knowledge of industry trends and best practices in event management.
