Why Your Role Matters:
The Event Coordinator, Graduations is an integral member of the Registrar & Student Services team, providing essential support in the planning and execution of graduation ceremonies and related events. This position requires a dynamic individual with a passion for event coordination, strong organisational skills, and the ability to collaborate effectively with various stakeholders. The Event Coordinator, Graduations will work closely with senior team members and various stakeholders to ensure the successful delivery of graduation experiences aligned with the strategic goals of the Division of Education & Student Experience.
Responsibilities:
Specific responsibilities for this role include:
- Assist in the event planning, coordination and delivery of graduation related events and ceremonies.
- Provide effective advice and best practice recommendations relating to event production, processes, policy and activities.
- Collaborate with vendors and suppliers to deliver services for graduation events whilst assisting with budget management.
- Support the setup and breakdown of event spaces, ensuring compliance with policies, safety standards, and a positive experience for stakeholders and participants.
- Assist in managing event registration processes, ticketing, and communication with graduating students and guests, providing accurate information about ceremony logistics.
- Assist in leading and providing support to event staff and volunteers, taking on assigned responsibilities and contributing to the overall efficiency of event operations.
- Develop and manage relationships with key stakeholders across the University.
- Assist in maintaining and updating event-related policies and procedures, liaising with diverse stakeholders to implement changes effectively.
- Serve as a point of contact for inquiries related to graduation events, providing support in addressing issues professionally and promptly.
- Participate in the evaluation of the success of graduation events through surveys, feedback collection, and data analysis, offering input for continuous improvement.

To be successful in this role you will have:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training, and experience.
- Demonstrated experience in the coordination and planning of events, providing effective customer service and stakeholder management.
- Excellent time management, accuracy, attention to detail, organisational and problem-solving skills, including the ability to meet deadlines.
- Well-developed interpersonal and written and verbal communication skills.
- Proven ability to exercise initiative, think creatively and adopt an active approach to problem-solving.
- Excellent skills in the use of standard office desktop software such as email, word processing, spreadsheets, and internet applications for researching and preparing reports, statistics and other documents.
- Ability to make sound judgements and work both independently and as part of a team.
- Demonstrated experience supporting and contributing to projects and initiatives.
