About the team
The Members & Clients business unit focuses on the overarching member strategy incorporating the events and sponsorship, membership proposition, international, board diversity and the sector teams. It's dedicated to increasing the impact, reach and relevance of the AICD's education, partnerships and advisory products and services.
We aspire to create and sustain a culture of excellence with high engagement that challenges as well as inspires our people and ultimately, be the leader of member and client experience within the governance landscape. Our Events and Sponsorship Team curate a national calendar of events and initiatives to highlight the latest strategies, opportunities and best practices in governance and directorship.
About the role
As the Events Coordinator, your primary focus is to contribute and support the regionally and nationally coordinated events program and initiatives. You will coordinate actions across the event lifecycle and enhance operational functionality by driving collaboration, managing logistics and vendor relationships, tracking timelines and reporting progress. An essential element to this role is strong engagement capabilities as you will need to cultivate effective relationships with key stakeholders to achieve deliverables.
This is a fantastic opportunity for a highly motivated and experienced professional with a passion and background in events, program coordination or administration.
Your remit will be broad and will include:

  • Support the planning, preparation and execution of the events program and initiatives. This includes booking venues, AV requirements, assisting with registrations, 'bump-in and out' and other administrative functions.
  • Provide professional and accurate team administrative support and coordination.
  • Manage all incoming communications and be the key contact person for initial queries relating to events.
  • Collaborate closely with internal teams to support the scope, deliverables, required resources, scheduling and budget for initiatives.
  • Maintain the CRM system as well as the document and contract library as well as the schedule of activities.
  • Cultivate professional relationships with both internal and external stakeholders.
  • Provide associated reporting, documentation and analytics.
  • Maintain Upbeat system data and records, ensuring accuracy and up to date.
  • Assist with travel arrangements, calendar and diary management for the team and related stakeholders and clients.
  • Manage financial processes and provide assistance in monitoring budgets.
  • Advocate for best practice and proactively participate in process improvement and review.
  • Proactively anticipate event member, delegate and attendee needs so that expectations can be surpassed with an enhanced experience.
Desired Skills and Experience
About you
You will have strong technical aptitude and previous relevant experience, and you will champion the AICD “OneTeam” approach and values of: Accountability, Respect, Excellence and Collaboration. In addition, you will also have the following:
  • A minimum of 3 years event and team coordination experience, ideally from the education or professional sectors.
  • Demonstrated end to end experience in both live and virtual event management.
  • Experience with sourcing and conducting research with an ability to draft and review content.
  • Excellent time management and organisational skills, prioritising competing activities.
  • At ease communicating and engaging with leadership, a range of stakeholders and cross functional teams.
  • Strong level of attention to detail with sound analysis and reporting skills.
  • Advanced computing skills in MS Office Suite, CRMs and other software and technologies.
  • Demonstrated initiative and the ability to take ownership of tasks and responsibility for actions.
