The OpportunityThe successful incumbent will provide professional, efficient and confidential executive support to the Director Corporate Services, as well as high level administrative and project support to the Corporate Services Department.

To undertake this position, you will have significant experience in providing executive level support in a customer-focused business environment, displaying a high degree of judgement, initiative and confidentiality.
You will have excellent interpersonal and written communication skills including the ability to work with internal and external customers at all levels.
Furthermore, you will have experience in the use of a range of ERP and other computer applications and the ability to learn and use new applications.
The position's focus will be:
- Provide executive level support for the Director of Corporate Services including serving as the primary point of contact for the Director to ensure a timely response to internal and external enquiries; engaging with stakeholders; managing emails, phone calls and other correspondence; managing diary and meeting schedules; arranging workshops and events; and other relevant tasks.
- Liaison with internal and external stakeholders, including other levels of government, the business sector and the general public to answer enquiries, arrange appointments and follow up issues on behalf of the Department, ensuring timely and accurate information and responses to enquiries.
- Monitor State / Federal grant programs on an ongoing basis to update Council’s Executive Leadership Group on new grant funding opportunities as they arise that may be relevant to Council activities.
- Coordinate the preparation of corporate reporting and performance management documents, including strategies, KPIs, branch plans, operational plans, risk registers.
- Coordinate the department’s meetings and workshops, including preparation of agendas, recording and disseminating minutes, as well as supporting department managers in preparing presentations, reports and other material.
- Coordinate the department’s internal training and knowledge content that provides guidance and training to all organisation staff on using ICT, procurement, finance, fleet and revenue services.
- Provide administrative, recordkeeping and procurement support to the department’s management.
- Collaborate with executive assistants in other departments to ensure alignment of processes and priorities, and providing support coordinating formal Executive and Council meetings when required.
- Undertake service delivery activities within Council’s corporate functions (records, procurement, debtors, creditors, IT helpdesk etc.) during peak workload periods and staff absences.
- Provide basic systems-related onboarding guidance, training and coordination of online training materials to organisational staff in relation to Council’s corporate systems and processes.
- Support ICT on their technology upgrade roadmap through user acceptance testing (UAT) of software.
- Carry out project support activities for Council’s commercial business and continuous improvement functions, including research, benchmarking, stakeholder engagement, information gathering and collation, preparation of grant application forms, online surveys and other similar activities.
