Purpose of Role
To assist in the day-to-day running of the Engineering department. Performs general clerical duties to include but not limited to; photocopying, faxing, answering the phone, managing staff rosters and monitoring employee timesheet clocking. Coordinates and maintains records for engineering staff qualifications, maintains staff communication boards and operational aircraft summary. Ultimately, a successful Business Support Officer should ensure the efficient and smooth day-to-day operations of the engineering team, with high attention to detail and an approachable positive demeanour. BSO’s need to be able to work autonomously, show initiative, be fast thinking and willing to learn and develop with the role.
Key Relationships
- Manager / Supervisor to identify and escalate operational and technical issues.
- Work team to communicate and exchange information to ensure safe and effective maintenance operations and provide input on issues.
- Clients / Customers to respond to queries where possible or direct key stakeholder.
Main Duties and Responsibilities:
Timesheets
- Daily review ensuring staff are clocking to rosters Work orders.
- Daily authorisation, including follow up on start/finish times.
- Fortnightly Payroll review.
- Collating field timesheets from travelling Engineers for Team Leader approval.
Employee Leave Management
- Collating all leave requests and presenting to appropriate Team Leaders for approval.
- Updating Humanforce with approved leave requests.
- Communicating to Payroll with approved leave requests.
Staff Communications/Movements
- Updating the Engineering communication board.
- Managing staff rostering.
- Communication with Support department on staff movements.
- Allocating Vehicles for field support and movements.
- Distributing Engineering Memos as advised by DoM or HAAMC.
- Pilot coordination for Maintenance functions with Ops Admin department.
Human Resources
- Coordinating, scheduling and collating employee performance program with department leaders and HR.
- Organisation of training and development program under HR guidance.
Qualifications
- Current drivers licence valid for use in the work location.
Experience
- Experience working in a records management and office administration environment.
- Experience using Aeronet (if favourable)
- A keen interest in the aviation industry.
- The ability to work well autonomously and in a team environment.
- Initiative and responsibility.
- Sound computer skills (proficient with Excel, Teams, Word & SharePoint).
- Good workplace and technical communication skills.
