Our clients, located in the Murray Land region, are seeking an experienced Executive Assistant to join their team. This organisation is highly driven by its core values, which guide its decision-making processes and the high quality of services it delivers to its staff and community.
Your new role
As an Executive Assistant, you will provide high level executive administrative support services to the General Manager, which includes:
- arranging, prioritising and diarising meetings and appointments
- undertaking initial telephone enquiries, resolving customer enquiries where appropriate and within agreed parameters
- file maintenance and recording
- receiving/distributing information
- reviewing incoming correspondence/emails and drafting responses
- photocopying and distribution of documents
- updating outstanding matters list
- controlling the workflow of documents between the Executive Manager and other business units
You will also act as the first point of contact for a range of queries and internal approvals required from the General Manager, receive messages and keep the General Manager informed of important and emerging matters, and develop, foster and maintain effective networks and key stakeholder relationships both internally and external to the organisation.
What you'll need to succeed
To be successful in this role, you will need:
- Certificate IV in Business Administration or similar, desirable
- Significant experience in a secretarial and administrative support role at a senior level
- Significant experience in administrative procedures, file management and all aspects of meeting procedures and administration
- Experience of contributing to the planning, coordinating and implementation of projects
- Proficiency in Microsoft Office and other relevant software applications
- Ability to work independently and as part of a team
- Ability to manage multiple tasks and prioritise effectively
- Ability to maintain confidentiality and discretion
- Excellent attention to detail and accuracy
- Excellent written and verbal communication skills
- Excellent customer service and interpersonal skills
