Youth Focus is a for-purpose organisation that creates brighter futures for young people in Western Australia by offering a range of no-cost mental health services. Established in 1994, Youth Focus delivers innovative and accessible mental health services and programs across Western Australia to help at-risk young people aged 12 to 25. A key component of this is our role as the lead agency for a number of headspace centres.
We are looking for an experienced Executive Assistant to join our team at our Head Office located in Burswood, on Whadjuk Noongar Country.
- Fixed-term, part-time position (0.6FTE)

- Contract end date: February 2025 (parental leave coverage)
About the Role
This position holds responsibility for a variety of key Board secretariat duties and will provide critical support to our Executive Leadership Team (ELT), including the CEO.
Key responsibilities include:
- Make arrangements for Board, Director, and Committee meetings.
- Establish, maintain, and review Board documents ensuring that all governance requirements are delivered.
- Act as master administrator of the Board management portal Board Effect, including the upload and management of all documentation and user training.
- Facilitate the effective operation of the Board's decision making and reporting by recording and organising effectively and in a timely way.
- Formulate the Board and various Committee meeting papers in liaison with the CEO, advise edit, and proofread the content produced with sufficient time for pre-reading/consideration.
- Act as administrator of the project management tool Envisio, managing the uploading of information from the CEO and ELT.
- Accurately record, transcribe, and distribute minutes of all required meetings.
- Provide the utmost support whilst ensuring confidentiality and sensitivity.
- Management of the CEO and ELT communications, as required.
- Monitor, respond, and screen incoming activities for the CEO, being the first point of contact for other stakeholders.
- Capacity to work occasional evenings, as required for meetings.
To be considered for this position, applicants will have:
- Experience in working with a Board of Management and a Management Team.
- Minimum 3 years' supporting a manager at C-suite level.
- Must possess an exceptional degree of confidentiality and discretion.
- Exceptional organisational, planning, and prioritisation skills.
- Excellent communication and interpersonal skills (including influencing and conflict management).
- Adaptable and flexible team worker with demonstrated collaborative skills.
- Strong attention to detail and accuracy is essential.
- Works well autonomously and uses initiative.
- Proficiency in Envisio, Adobe, Microsoft 365, with SharePoint experience preferred.
- Diligent or Board Effect software experience would be advantageous.
