About the Role The Office of the Secretary is looking for an experienced Executive Assistant to join their team to provide a range of high-quality executive and administrative support across a range of complex issues to support the Executive Director of the Office of the Secretary.
Your responsibilities will include:
- Manage diary appointments, records, travel bookings and correspondence for the Executive Director, Office of the Secretary
- Provide a range of executive, secretarial and administrative support services across a range of issues to support teams across the Office of the Secretary, working closely with Directors
- Monitor, implement and evaluate and continuously improve administrative practices, systems, and procedures to support the delivery of quality outcomes for teams
- Be a key contact point of contact with finance, ICT and HR to support various needs across the team, and assist in the day-to-day management of the Office’s budget
- Prepare meeting materials for presentation to both internal and external stakeholders
- Work alongside the Executive Officer to improve team engagement, maintain regular communication through a range of channels and organise team landing days and activities.

- Ability to manage up and support the Executive Director to manage a busy workload
- High level verbal and written communication skills
- Exceptional time management and prioritisation skills
- Flourishes when faced with problems to solve and tasks to co-ordinate
- Ability to manage multiple priorities and build solid relationships with the broader team
- Understanding of financial management, procurement and recruitment
- Confidence using various Microsoft Office products and willingness to embrace new technology, particularly collaboration tools
- Experience with SAP is highly desirable
- Willingness to travel in accordance with the demands of the role
