The role:
There is an exciting opportunity for an Executive Assistant to support the management team of our family office. The role has variety, and experience or keen interest in real estate or property development is a must. Reporting directly to the CEO you will be required to work 2-3 days from their home-office in Gladesville each week and occasionally travel to property sites in Sydney and Port Stephens to support business operations.
Working with a high level of organisation and time management, your day to day responsibilities will include:
- Triage and coordinate inbound and outbound correspondence in a professional and timely manner, including preparation of briefs and responses as required
- Act and respond on behalf of CEO when appropriate to do so
- Coordinate schedules and appointments
- Document management and archiving
- Providing quality and timely administrative support
- Conduct research and compile data for executive decision-making.
- Prepare reports and spreadsheets
- Project coordination including tracking of deadlines, liaising with internal staff, and external consultants and contractors to keep projects on schedule
- Building positive relationships with internal and external stakeholders to coordinate work with effective communication flow
- Book travel, accommodation and logistics
- Perform necessary adhoc duties on behalf of the management team and assist with various other personal matters and errands as needed
Hours, contract and remuneration:
The role is full-time requiring 38 hours per week. These hours can be designed to suit your family and lifestyle commitments with an agreed regular schedule and primarily within business hours.
The salary range for this role, dependent on experience, is $95-$115k plus super + Vehicle
Your experience:
- minimum 5 years’ experience supporting executives
- strong proficiency in Microsoft Office, particularly Outlook, Word & Excel
- A can-do attitude and exceptional attention to detail
- Clear and concise communication skills
- Experience or a keen interest in property development
