EXECUTIVE ASSISTANT – Food and Beverage

This position plays a vital supportive role for the General Manager of Food & Beverage and other senior F&B managers. Serving as a gatekeeper, the incumbent prioritizes inquiries, maintains confidentiality, and ensures smooth information flow.
The role entails offering administrative assistance, adapting to shifting priorities, and enhancing organizational efficiency and effectiveness.
You will:
- Efficiently manager diaries and provide support for meetings
- Liase with F&B senior management to ensure smooth communication and task execution
- Prepare agendas and minutes for Executive Food & Beverage meetings
- Consolidate information and prepare monthly reports
- Format CAPEX requests and coordinate purchase orders
- Manage yearly F&B outlet food licence renewals
- Supervise team members handling customer queries and complaints
- Respond to guest and staff enquiries, esculating issues to the General Manager as needed
- Assist with gift voucher enquiries
- Arrange travel for the General Manager and other F&B senior management
- Coordinate travel arrangements for external parties
- Plan and execute F&B employee events
- Process invoices promptly
- Reconcile Expense Claims and City Ledgers for the General Manager
- Assist F&B senior management with expense claims as required
- Manage office stationary and kitchen supplies
- Distribute Food and Beverage financial year budgets to outlet managers
- Notify outlet managers of school holiday and block out dates
- Assist with outlet trading operations in SevenRooms
- Manage Festive Season bookings for participating outlets
- Provide outlet access via safelock SOPs
About You
It is essential to have a Higher School Certificate or equivalent, a minimum of two years' experience in an administrative role, and advanced proficiency in Microsoft Word, Microsoft Excel, and PowerPoint, while experience in Food and Beverage and familiarity with SevenRooms are desirable.
You will also have:
- Strong verbal and written communication abilities for effective interaction with executives and stakeholders
- Ability to handle tasks accurately with a keen eye for detail
- Commitment to maintaining confidentiality and handling sensitive information with care
- Flexibility to quickly adjust to changing priorities and unforeseen challenges
- Skill in prioritizing tasks and managing deadlines efficiently
- Conducting oneself with professionalism in all interactions, representing the executive and the organization positively
- Ability to efficiently solve problems and find solutions with limited guidance or resources
